ABOUT THE POSITION

Canada Heavy Equipment College is seeking a highly organized, self-motivated Executive Assistant, Marketing & Operations to support the day-to-day operations of our growing private career college. This dynamic role combines executive administration, project coordination, marketing, event planning, recruitment, and operational support.

The ideal candidate thrives in a fast-paced environment, enjoys wearing multiple hats, and has excellent organizational, communication, and technology skills.

RESPONSIBILITIES

Administrative & Executive Support

- Coordinate executive meetings and maintain action items
- Prepare reports, spreadsheets, presentations, and business documents
- Perform accurate data entry and maintain organized records
- Assist with operational planning and process improvements
- Coordinate internal communications across departments
- Prepare sales, expense, and performance reports
- Support financial reporting and administrative functions

Training & Event Coordination

- Coordinate training schedules and registrations (Corporate)
- Communicate with sales team, instructors, and clients
- Prepare training materials, manuals, presentations, and course documentation
- Track timelines and follow up on outstanding tasks

Marketing & Communications

- Develop and implement annual marketing strategies
- Design digital and print marketing materials
- Manage monthly email marketing campaigns
- Maintain company website content
- Write blog articles and promotional copy
- Create and schedule social media content and advertising campaigns
- Support lead generation initiatives and promotional campaigns





Recruitment & Human Resources Support

- Prepare and post employment advertisements
- Coordinate recruitment activities
- Assist with onboarding documentation and training materials

Technology Support

- Provide first-level technical support to staff, instructors, and students by troubleshooting software, hardware, and connectivity issues.
- Assist employees with Microsoft Office applications, email, cloud-based systems, and virtual meeting platforms.
- Support website updates, online registration systems, and digital learning resources.
- Set up and maintain computers and office technology for new employees
- Research, implement, and support new software and technology solutions to improve operational efficiency.
- Create user guides, training materials, and step-by-step documentation for internal systems and processes.
- Liaise with third-party software vendors and IT service providers to resolve technical issues.
- Maintain digital files, shared drives, and cloud-based document management systems while ensuring data accuracy and accessibility.
- Identify opportunities to automate workflows and improve business processes using technology.

QUALIFICATIONS

- Diploma or Degree in Business Administration, Marketing, Communications, or related field




- 5 years of administrative, operations, or marketing experience (experience in education is an asset)
- Excellent written and verbal communication skills
- Strong organizational and time-management abilities
- Ability to prioritize multiple projects independently
- High attention to detail

TECHNICAL SKILLS

- Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Canva or similar graphic design software
- Website content management systems
- Social media management
- Email marketing platforms
- Google Workspace
- Virtual meeting platforms (Zoom / Microsoft Teams)
