The Human Resources Coordinator is responsible for supporting the day-to-day operations of the Human Resources department for a property management company. This role provides full-cycle HR support for office staff, property managers, superintendents, maintenance employees, leasing staff, and contractors across multiple properties. The HR Coordinator ensures compliance with employment legislation, company policies, and HR best practices while delivering excellent service to employees and management.

Key Responsibilities

- Coordinate the full recruitment process, including posting vacancies, screening resumes, scheduling interviews, conducting reference checks, preparing offer letters, and onboarding new employees.
- Facilitate new hire orientation and ensure all onboarding documentation is completed accurately.
- Prepare employment agreements, promotion letters, salary adjustment letters, transfer letters, probation reviews, disciplinary notices, termination letters, and other HR documentation.
- Maintain accurate employee files and HR records in both electronic and paper formats while ensuring confidentiality.
- Administer employee benefits, pension plans, and group insurance, including enrollments, changes, terminations, and employee inquiries.
- Coordinate employee leaves of absence, including vacation, sick leave, maternity/parental leave, and other statutory leaves.
- Support payroll by processing new hires, terminations, employee changes, vacation balances, benefit deductions, and payroll-related documentation.
- Monitor work permits, employment eligibility, and other required employment documentation.
- Ensure compliance with the Employment Standards Act,



Occupational Health and Safety Act, Human Rights Code, and other applicable employment legislation.
- Assist with workplace investigations, employee relations matters, performance management, and conflict resolution.
- Prepare disciplinary documentation and support managers with coaching and employee performance concerns.
- Maintain and update HR policies, procedures, employee handbooks, and company forms.
- Coordinate training programs, employee development initiatives, and mandatory compliance training.
- Support workplace health and safety initiatives, including incident reporting, return-to-work coordination, and WSIB administration.
- Generate HR reports, track employee metrics, and maintain organizational charts and staffing records.
- Coordinate employee recognition programs, company events, and wellness initiatives.
- Respond to employee questions regarding company policies, benefits, payroll, and HR procedures.
- Assist with immigration-related employment documentation, where required.
- Work closely with Property Managers, Area Managers, Operations, Payroll, and senior leadership on staffing and employee matters.
- Perform other HR and administrative duties as assigned.

Qualifications
- Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
- CHRP designation or working toward completion is considered an asset.
- Minimum 2 years of Human Resources experience.
- Experience in property management or a multi-site environment is considered an asset.
- Strong knowledge of Ontario employment legislation and HR best practices.
- Experience with HRIS and payroll systems.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams.
- Excellent organizational, communication, and time management skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong attention to detail with the ability to manage multiple priorities in a fast-paced environment.

Pay: From $70,000.00 per year
