As the Manager, Inmate Records at Maplehurst Correctional Complex, you will lead a specialized team responsible for inmate records administration, sentence calculations, court documentation, admissions, transfers, and releases. You will oversee processes that ensure lawful custody, timely releases, compliance with legislation, and the integrity of institutional operations. Working closely with correctional leaders, courts, police services, legal representatives, and other justice-sector partners, you will provide expert advice, resolve complex cases, drive continuous improvement, and foster a culture of accountability, inclusion, and service excellence.

- Lead and oversee inmate records operations by managing the administration of inmate records, sentence calculations, court documentation, admissions, transfers, releases, and related records processes to ensure accuracy, security, and compliance.
- Provide leadership and direction to staff by setting expectations, assigning work, coordinating schedules, coaching employees, supporting professional development, and fostering a respectful, inclusive, and high-performing team environment.
- Ensure legislative and policy compliance through the interpretation and application of relevant legislation, regulations, court orders, ministry directives, and institutional policies related to inmate records and sentence administration.
- Manage complex records and custody matters by providing expert guidance on sentencing calculations, legal documents, disclosure requests, inmate movement, and other operational issues that impact lawful custody and release decisions.
- Build and maintain key stakeholder relationships by collaborating with institutional management, courts, police services, legal counsel, justice-sector partners, and other stakeholders to support effective information sharing and coordinated operations.
- Drive operational excellence and risk management by monitoring records processes, identifying areas for improvement, implementing best practices, analyzing trends and reports, and taking proactive steps to mitigate operational, legal, and public safety risks.

What you bring to the team
Leadership and People Management
- Experience leading and developing teams by setting clear expectations, establishing priorities, and promoting a culture of accountability and high performance.
- Ability to coach, mentor, and support staff through performance management, training, career development, and ongoing feedback.
- Experience managing staffing requirements, workload distribution, scheduling, and operational priorities in a fast-paced environment.
- Demonstrated ability to address employee relations matters, workplace concerns, and conflict resolution while maintaining a respectful and inclusive workplace.
Legislative Interpretation and Decision-Making
- Extensive experience interpreting and applying legislation, regulations, policies, directives, and legal documents within a complex operational environment.
- Ability to analyze court orders, warrants, and sentencing information to ensure accurate custody and release decisions.
- Sound judgment and decision-making skills to resolve complex, sensitive, or contentious cases with significant operational impact.
- Experience providing expert advice and guidance to management and staff on legislative and policy requirements.
Records Management and Operational Excellence
- Strong knowledge of records management principles, procedures, and systems, including maintaining accuracy, confidentiality, and data integrity.
- Experience overseeing records operations to ensure compliance with legislative, operational, and organizational requirements.
- Ability to identify operational risks, implement process improvements, and develop procedures that enhance efficiency and consistency.
- Strong analytical and organizational skills with the ability to manage multiple priorities and maintain attention to detail in a high-volume environment.
Communication and Stakeholder Management
- Exceptional communication skills with the ability to explain complex information clearly and effectively to diverse audiences.
- Experience building and maintaining collaborative relationships with internal and external stakeholders, including justice-sector partners.
- Ability to respond to inquiries, complaints, and sensitive issues with professionalism, diplomacy, and tact.
- Proven ability to collaborate across teams and organizations to support coordinated operations, achieve shared objectives, and deliver high-quality service.
