We are seeking an Office Assistant to join our team. This role is vital in ensuring the smooth operation of our Business. We are a Heavy duty mechanical and body shop. As an Office Assistant, you will be the first point of contact for visitors and callers, manage administrative tasks and support various departments to keep everything running smoothly.
Responsibilities
- Greet visitors and clients warmly, providing excellent customer service and phone etiquette at all times.
- Manage multi-line phone systems, directing calls accurately and professionally.
- Perform data entry tasks using Microsoft Office, and QuickBooks to maintain accurate records.
- Handle clerical duties such as filing, photocopying, scanning, and proofreading documents to ensure clarity and accuracy.
- Support front desk operations by managing appointments, scheduling meetings, and maintaining office supplies inventory.
- Assist with bookkeeping tasks, including invoicing and expense tracking using QuickBooks or similar software.
- Provide administrative support across departments, including organizing files, and preparing reports.
- Assist with parts tracking and management.
Experience
- Experience related to mechanical repairs autobody or parts is a huge asset
- Previous office experience demonstrating proficiency in Microsoft Office and quickbooks.
- Strong computer skills with the ability to perform data entry quickly and accurately.
- Experience in clerical roles with a focus on filing systems, proofreading documents, and managing multi-line phone systems.
- Demonstrated organizational skills with the ability to multitask at times
