Role Description The Office Administration & Project Support Coordinator is a part-time, on-site role based in Mississauga, ON. We are looking for a highly organized, adaptable coordinator to help keep our team moving and the details under control. You will support office operations, project systems, client deliverables, proposals, presentations and light communications and marketing.
This is primarily an office and project support role with a communications component - not a standalone social media position.
The right person is a strong finisher who can switch comfortably between proofreading a report, updating a tracker, preparing workshop materials and drafting a LinkedIn post. You notice loose ends, ask smart questions and follow through. What you will do:
- Document and deliverable support
- Proofread and format reports, letters, proposals, presentation decks and other deliverables for clarity, consistency, spelling, grammar and professional presentation.
- Apply and improve Word, PowerPoint, Excel and Canva templates.
- Compile, convert, merge, print, bind and assemble client-ready deliverables, workshop tools and participant packages.
- Prepare slides and supporting materials for presentations, training sessions and workshops. Project and office coordination
- Maintain SharePoint folders, document naming, version control, digital filing and archives.
- Update project databases, status trackers, contact lists, schedules and internal dashboards.
- Support proposals by organizing inputs, formatting resumes and project sheets, completing forms, proofreading and checking submission requirements.
- Coordinate routine office needs, supplies, meeting materials and other administrative tasks.
- Help document repeatable processes and keep templates, checklists and reference materials current. Communications support
- Draft, proof and schedule social media posts with direction from leadership.
- Make routine website content updates and keep project and team information current.
- Organize photos, project summaries and other marketing assets so they are easy to find and reuse. What you will bring:
- One to three years of experience in administration, project coordination, professional services,
marketing or communications support, or a comparable combination of education and experience.
- Excellent written communication, proofreading and document-formatting skills in English, with a sharp eye for detail.
- Solid working knowledge of Microsoft 365, especially Word, PowerPoint, Excel, Outlook and Teams; SharePoint experience is strongly preferred.
- Comfort with Canva and the ability to learn website content-management systems and other digital tools.
- Reliable follow-through, sound time management and the ability to prioritize many small moving pieces.
- A proactive approach: you ask questions, learn quickly and take ownership of next steps.
- Professional judgment and discretion when handling client and project information.
- Experience supporting proposals or working in an engineering, consulting or other professional-services environment is an asset.
- Availability to work from our Mississauga office at least two days per week. Position details
- Permanent part-time position, approximately 16-24 hours per week, with the potential to grow to full-time as business needs evolve.
- Minimum two days per week in the Mississauga office. Additional hours may be worked remotely depending on the work and team schedule.
- $22-$28 per hour, based on relevant experience and demonstrated capability.
