Payroll Administrator

Location: New Hamburg, Ontario

Department: Accounting

Reports to: Director of Finance

Position Summary The Payroll Administrator is responsible for the accurate and timely processing of payroll for a workforce that includes unionized hourly field employees and salaried staff. This role supports a fast-paced EPC (Engineering, Procurement, Construction) environment and ensures compliance with collective agreements, provincial/federal regulations, and company policies.

The Payroll Administrator plays a critical role in maintaining payroll integrity across multiple projects, supporting field operations, and ensuring employees are paid correctly and on time.

Key Responsibilities

Payroll Processing (Full-Cycle)

- Process weekly payroll for union and non-union employees across multiple projects
- Review and validate time entries, job cost coding, and labour allocations
- Calculate wages including overtime, shift premiums, travel pay, per diems, and incentives
- Process payroll adjustments (retro pay, corrections, terminations, final pay)
- Maintain accurate payroll records and audit

Union & Collective Agreement Administration

- Interpret and apply collective agreements, including wage grids, premiums, and rules
- Calculate and remit union dues, benefit contributions, and fringe payments
- Ensure compliance with prevailing wage requirements and labour classification

Time & Attendance / Field Coordination

- Liaise with project managers,



site supervisors, and field admins to verify hours, classifications, and approvals
- Manage time and attendance systems and resolve discrepancies
- Ensure accuracy of:
- Job costing
- Labour burden allocations
- Project-specific pay rules

Employee Support & Issue Resolution

- Act as the primary point of contact for payroll inquiries
- Investigate and resolve pay discrepancies quickly and professionally
- Provide guidance to employees on:
- Pay statements
- Union deductions
- Benefits and entitlements

Reporting & Continuous Improvement

- Prepare payroll reports for finance, job costing, and management reporting
- Support development and improvement of payroll processes and controls
- Assist in implementations or upgrades to ERP/payroll systems

Qualifications & Experience

- Post-secondary education in Accounting, Finance, or Business Administration
- 2–5+ years payroll experience, preferably in:
- Construction / EPC / infrastructure
- Unionized workforce environments

Strong knowledge of the following would be considered an asset:
- Canadian payroll regulations (CRA)
- Union payroll and collective agreements

Skills & Competencies

- High level of accuracy and attention to detail




- Strong Excel and payroll system proficiency
- Ability to manage high-volume, deadline-driven payroll cycles
- Strong communication skills with both office and field teams
- Ability to maintain confidentiality and professionalism
- Strong problem-solving and organizational skills

Preferred Experience (EPC / Renewable Energy)

- Experience supporting large-scale construction or energy projects
- Familiarity with:
- Multi-project/job costing environments
- Remote site payroll coordination
- Multi-union or multi-agreement payroll scenarios

Working Conditions
