As our organization continues to grow, we are seeking a motivated and detail-oriented Payroll & Benefits Administrator to join our team in downtown Calgary. Reporting to the Senior Payroll Administrator, the successful candidate will play a key role in ensuring accurate and timely payroll processing while maintaining the highest standards of confidentiality, compliance, and customer service.
Key Responsibilities
· Process and administer bi-weekly payroll for salaried, hourly, and intermittent employees across multiple locations and jurisdictions in Canada and the United States.
· Maintain and update employee payroll records, including new hires, terminations, compensation changes, and benefit updates.
· Administer payroll deductions, garnishments, and other employee withholdings.
· Assist with payroll reconciliations and balancing procedures prior to payroll processing.
· Ensure compliance with applicable payroll legislation, tax regulations, and company policies while maintaining strict confidentiality.
· Enroll, update, and reconcile employee information within benefit and retirement plan administration systems.
· Prepare and distribute payroll reports, records of employment, tax forms, and other payroll-related documentation as required.
· Analyze payroll data and identify opportunities to improve processes and controls.
· Maintain employee earnings, deductions, taxable benefits, and vacation records. · Assist with payroll system improvements, testing, and implementations.
· Respond to employee inquiries regarding payroll, deductions, benefits, and tax-related matters.
· Work collaboratively with Human Resources and Finance to ensure accurate and efficient payroll administration.
· Investigate and resolve payroll discrepancies in a timely manner.
· Stay current with changes to payroll legislation, employment standards, and industry best practices.
Qualifications & Experience
· Post-secondary education in Payroll, Accounting, Business Administration, Human Resources, or a related field.
· Minimum 2-3 years of payroll administration experience, preferably in a multi-provincial or multi-state environment.
· Experience supporting payrolls of 300+ employees, considered an asset
· Payroll Compliance Practitioner (PCP) designation completed or actively pursuing certification.
· Strong understanding of payroll legislation, tax regulations, benefits administration, and payroll accounting principles.
· Advanced proficiency in Microsoft Excel, Outlook, and Word.
· Experience with ADP and/or Avanti payroll systems is considered a strong asset.
· Exceptional attention to detail and a high degree of accuracy.
· Strong analytical, organizational, and problem-solving skills.
· Ability to manage sensitive and confidential information with discretion and integrity.
· Excellent written and verbal communication skills.
· Ability to work independently while contributing effectively within a team environment.
· Successful completion of a criminal background check.
