Qualifications

MINIMAL FORMAL EDUCATION REQUIRED:

- Undergraduate degree in a related discipline.
- Knowledge of university regulations, programs and procedures as they relate to the function/program.

EXPIERENCE:

- One year of directly-related administrative experience required.
- 3 years of university or other academic experience.
- Experience coordinating admissions, registration, records management, or academic administration.
- Experience in a university, healthcare, or postgraduate education setting is considered an asset.
- Experience in data collection and creating reports within Excel is required.
- Experience working in a university with knowledge of university policies and procedures required.
- Experience working in the Entrada curriculum management system is required.
- An acceptable equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES:

- Knowledge of administrative, registration, and records management practices is required.
- Ability to interpret and apply established policies, procedures, and administrative guidelines are required.
- Excellent organizational and time management skills with the ability to manage competing priorities are required.
- Strong attention to detail and commitment to data accuracy is required.
- Excellent written, verbal, and interpersonal communication skills are required.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information is required.
- Proficiency with Microsoft Office applications,



particularly Excel is required.
- Ability to work independently and collaboratively in a team environment is required
- A satisfactory work record, including satisfactory attendance and punctuality, is required.

OTHER JOB RELATED QUALIFICATIONS:

- Experience using student information and records management systems (e.g., Aurora, Banner, Entrada) is an asset.

Key responsibilities

Resident Registration and Annual Intake:

- Coordinate the annual registration and onboarding of postgraduate medical trainees, including CaRMS matched residents, visa trainees, and other postdoctoral trainees.
- Administer trainee admissions and registration within University of Manitoba student information systems (e.g., Aurora and Banner), ensuring accurate and complete trainee records.
- Create and maintain annual Entrada eForm A registration packages and monitor completion of required registration documentation.
- Prepare and issue Letters of Offer and other registration-related correspondence in accordance with University, Shared Health and PGME procedures.
- Generate and distribute registration reports and documentation for the Provincial Medical Administration Office (PMAO), Admissions, and other stakeholders.
- Liaise with Program Administrators, University departments, and external partners to ensure timely completion of registration and onboarding activities.
- Ensure registration processes comply with University, PGME, accreditation, licensing, and regulatory requirements.
- Provides back up coverage to other Resident Administrators.

Resident Records and Transfers:

- Coordinate resident transfers within and between residency programs and institutions.
- Maintain accurate resident records, including appointments, program changes, transfers, interruptions in training,



and program completion information.
- Update resident information within University and PGME administrative systems.
- Coordinate documentation and communication with internal and external stakeholders regarding resident status changes.
- Maintain confidential resident files in accordance with university policies and applicable privacy legislation.
- Respond to inquiries related to resident registration, records, and transfer processes.

Operational Support and Reporting:

- Prepare reports, correspondence, and documentation related to resident registration and trainee records.
- Provide administrative support for accreditation activities, audits, and institutional reporting requirements.
- Develop and maintain administrative procedures, forms, and supporting documentation related to resident registration.
- Identify opportunities to improve registration and records administration processes and recommend enhancements.
- May be required to perform related duties not exceeding skills and capabilities as required.
