Description
The Department of Medicine is seeking a proactive and highly organized Executive Assistant to serve as the administrative backbone for our leadership team, including the Chair and the Academic Department Manager. This is a pivotal role designed for a professional who thrives on driving seamless operations, managing high-level communications, and supporting strategic initiatives within a rapid-paced, prestigious academic environment.
Responsibilities

Executive Support: Manage complex physician calendars and prioritize competing demands with a high degree of foresight. You will act as a partner to leadership,
ensuring they are prepared for all engagements.

Governance & Meetings: Lead the coordination of leadership and committee meetings, including the preparation of agendas, logistics, and the recording of formal minutes.

Strategic Communication: Draft and edit professional correspondence, briefing notes, and departmental announcements, ensuring a consistent and professional brand voice.

Reporting & Analytics: Compile data for strategic reports and track departmental metrics through the creation of advanced charts and spreadsheets.

Operational Excellence: Assist with event planning and special projects while providing essential backup support to the departments executive administrative team to ensure operational continuity.
Qualifications
-
Education: Degree or Diploma in Business Administration or a related field.

Experience: 3+ years of progressive office administration experience. Previous experience in a post-secondary or complex public-sector environment is strongly preferred.

Technical Skills: Advanced expertise in MS Office and Google Workspace. Experience with University of Alberta systems, specifically PeopleSoft (HCM), and SupplyNet, is considered a significant asset.

Soft Skills: A self-starter with meticulous attention to detail and the ability to handle sensitive information with tact, discretion, and cultural competency.
