The Executive Coordinator will provide an array of support services, executing tasks with accuracy and efficiency. Reporting to the CEO, this individual will implement and manage systems, maintain an organized work setting and provide administrative and clerical support services to the Board of Directors and the CEO.
The Executive Coordinator is an essential contributor to daily functions providing vital support to the organization and senior management team. Information gathering, research and reporting functions are also part of this role.
RESPONSIBILITIES
- Scheduling CVL and business entity meetings.
- Preparing and maintaining corporate records (such as meeting minutes).
- Maintaining calendars and appointments for the CEO and senior management team members as required.
- Developing and maintaining standardized templates and business forms for CVL and its business entities.
- Performing various marketing functions including advertising, website content development, banner design, ordering and coordinating the distribution of marketing materials and organizing and hosting promotional events.
- Planning, organizing and executing events for CVL and its business entities as required.
- Performing file related tasks such as setting up and maintaining a document retention system and organizing and maintaining the data within it.
- Supporting the day-to-day operations of CVL and its business entities as required including procurement, purchasing,
filing and records management.
- Supporting the CEO in business entity operations as required.
- Supporting the CEO and Board of directors in developing report content, generating reports and gathering data as required.
- Receiving and maintaining confidential business entity and staffing information.
- Preparing and formatting meeting information for formal presentations (i.e. PowerPoint).
- Organizing and managing correspondence for CVL and its business entities.
- Developing and maintaining an inventory system for office and general supplies.
- Participating in CVL, Cowessess First Nation and/or business entity groups to provide administrative and clerical support services (i.e. OH&S; Committee, Staff Appreciation Events, CVL Golf Tournament).
- Completing other duties as assigned.
QUALIFICATIONS
- A valid Class 5 driver’s license.
- 2+ Years of administrative experience.
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Post-secondary education in business related fields is considered an asset.
- Must provide a satisfactory Criminal Record Check.
