About the Role
nUnder the supervision of the Curator/Supervisor, Oil Museum of Canada, the Reception/Visitor Engagement Clerk oversees office and front-end responsibilities including visitor services, accounting support, coordination of the membership and volunteer programs, and bookings of Museum facilities for programs, events and meetings.n
Job Duties and Responsibilities
nRetail & Visitor Services:n
n
- Greet public, process admission payments, and direct tourists to local attractions.n
n
- Oversee retail components of Museum,
including inventory tracking and ordering, merchandising and security.n
n
- Utilize Point of Sale system, perform daily cash out procedures and financial management, including the preparation of weekly deposits.n
n
- Gather visitor statistics.n
n
- Train staff on front desk procedures and operations, including appropriate cash handling procedures and security.n
n
- Act as point person for all issues regarding front-end services, take steps to correct problems and use valuable judgement to communicate issues to supervisor.n
n
nMembership & Volunteer Programs:nn
- Oversee and organize the membership and volunteer programs.n
n
- Keep museum membership records up to date, distribute membership welcome packages, and coordinate the distribution of member communications.n
n
- Update membership program offerings as directed.n
n
- Review volunteer applications and keep accurate records, including contact information, volunteer roles, and number of hours onsite.n
n
- Schedule volunteers as needed to support programming and special events and oversee all volunteer communications.n
n
nAdministrative Supportnn
- General accounting support including the creation of PO's, receiving of goods, preparation of accounts payable.n
n
- Coordinate bookings of museum facilities for school programs, meetings etc.n
n
- Place orders for office and building supplies as requested.n
n
- Financial tracking and reporting as required.n
n
nGeneralnn
- Incumbents must keep up-to-date on all relevant legislation, collective bargaining agreements, County Policies and Procedures, etc. ensuring that these are implemented as prescribedn

- Incumbents must possess the physical ability to meet the duties and responsibilities of the job description and/or the requirements identified within the position's Physical Demands Analysisn

What We Are Looking For

Minimum Formal Education

- Post-secondary education in office administration or equivalent on the job experience
n
nExperiencenn
- One-year previous experience working in an office or retail setting.
