Administrative AssistantAre you a graduate of business admin or related field? Are you a dynamic, people-focused individual that can combine executive assistance, team support, volunteer coordination, light technology, and communications management? Our client is a non-profit organization dedicated to helping individuals and families with certain difficulties. The ideal candidate is organized, proactive and flexible with strong communication skills and a "pitch-in wherever needed" attitude.Core Responsibilities- Executive Assistance & Multitaskingo Support the Rabbi in day-to-day operations, especially in managing his fast-paced, multitasking style.o Take notes during his phone calls, track follow-ups, and proactively remind him of people to email, call, or meet with.- Writing & Editingo Draft newsletters, email communications, and other public-facing materials.o Frequently work from the Rabbi's dictation - editing and refining to match his tone and message.o Write and edit grant proposals, crafting clear, persuasive cases that align with organizational goals and funder priorities - Team Support & Office Maintenanceo Be present and enthusiastic in supporting team members with small tasks, organizing workspaces, and taking care of practical needs like replacing lightbulbs.o Approach the role with a positive, can-do attitude (say "yes" whenever you can)- Volunteer Coordinationo Manage volunteer schedules and serve as the point of contact for all volunteer-related communications.o Know who is coming when,



and ensure coverage when possible.o Train new volunteers and support them at the front desk.o Be capable of stepping in at the front desk and confidently handling its responsibilities when needed.- Technical Troubleshooting & Support Coordinationo When tech issues arise (e.g., with phones, printers, internet), take initiative to call service providers and coordinate solutions.o Serve as the go-to person for tech-related disruptions in the office.- Administrative Organizationo Keep Google Drive organized and up to date.o Be able to quickly find documents and ensure new files are saved in the correct place.- Design Work (Canva)o Create and update flyers, letters, business cards, and other branded materials using Canva.o Ensure a clean, skilled, and consistent look across all designs.- Website Managemento Make small edits and updates to the website as needed.o Rearrange or add content to ensure clarity, accessibility, and up-to-date information. Key Skills & Attributes- Excellent communication and interpersonal skills- Strong writing and editing ability, especially for tone and clarity- Highly organized and comfortable with multitasking- Positive, helpful, and proactive approach to team support- Tech-savvy and resourceful in problem-solving- Proficient in Google Workspace (Docs, Drive, Calendar, Sheets, etc.)- Familiarity with Canva and basic design principles- Comfortable using Wix to edit the website- Warm, friendly, and professional demeanor, especially with volunteers and guestsSalary: $29-$34 per hour, flex hours, medical insurance, for a 20-hour part-time or a 35-hour full time week option. Monday to Thursday 9-5 pm, Fridays, 9-2 pm, with half-hour lunch breaks.
