Document Control Specialist – Food Industry

Role Description
The Document Control Specialist is responsible for managing and verifying supplier documentation to ensure compliance with regulatory and quality requirements. This role oversees supplier approval, maintains the Approved Supplier List (ASL), and ensures all required documents are complete and approved prior to shipment release. Acting as a liaison between suppliers, Quality Assurance (QA), and Procurement, the position supports issue resolution, certification maintenance, and the timely provision of documentation to internal teams and customers. This position reports directly to the QA & RA Director.
Key Responsibilities
- Coordinate with suppliers to collect, review, and maintain all required documentation.
- Perform initial supplier approval and maintain the Approved Supplier List (ASL), ensuring all supplier documentation and certifications remain current and valid.
- Verify that all required supplier documentation is complete, accurate, and compliant prior to shipment release including Certificates of Analysis (COA), specifications, and regulatory/compliance records.
- Act as a key liaison between Quality Assurance (QA) and Procurements to ensure effective communication and alignment on supplier-related matters.
- Support QA by providing supplier documentation and responding to internal documentation requests in a timely manner
- Communicate QA-raised complaints to suppliers and review supplier investigation reports, including root cause analysis and Corrective and Preventive Actions (CAPA), to assess adequacy.
- Monitor complaint trends and supplier quality performance data to identify recurring issues and support continuous improvement initiatives.
- Respond to customer requests for documentation in a timely and professional manner.
- Update and maintain certification portals (e.g., Kosher).
- Assist with organic certification applications and maintain supporting documentation.
- Utilize SAP ERP system for supplier data management and document tracking.
- Perform other related duties as required.
Required Experience & Qualifications
- Bachelor's degree in food science, Chemistry, Quality Assurance, or a related field (Master's degree is an asset).
- Minimum 2-5 years of experience in document control or supplier quality (food industry preferred).
- Strong knowledge of Canadian and U.S. food regulations, including CFIA/SFCR, FDA requirements, and GFSI standards.
- Experience with supplier approval, documentation management.
- Familiarity with SAP systems or similar ERP system is an asset.
- Robust attention to detail and excellent organizational skills.
- Excellent communication and follow-up skills with suppliers and cross-functional teams.
- Ability to manage multiple priorities in a fast-paced environment and meet deadlines.
- Strong analytical and problem-solving skills with the ability to review and interpret technical documents.
- Ability to work effectively with QA, R&D;, Procurement and Packaging teams.
