Role Overview

- Reporting to the Manager of Client Service, the Business Operations Support Representative provides high-quality, efficient, and specialized administrative support within a dynamic, client-focused sales environment. This role requires adaptability, strong organizational skills, and a proactive mindset to thrive in a fast-paced setting while delivering exceptional service.

Key Responsibilities

- Deliver high-level administrative support to the branch, ensuring professionalism and exceptional client service at every interaction
- Support the Manager Client Service (MCS) with daily operations and administrative functions
- Assist in communication and execution of operational, administrative, and regulatory/compliance activities
- Coordinate equipment needs, system access, and IT support; assist with training where required
- Manage premises-related matters, including building issues and promotional/seasonal displays
- Maintain and improve branch filing systems for efficiency and compliance
- Perform general office duties and ensure adherence to audit and compliance procedures
- Promote and support key branch and firm initiatives
- Identify cost-saving opportunities and suggest process improvements
- Support and maintain the Business Continuity Management (BCM) Plan
- Provide administrative assistance to branch professionals and support client requests

Client & Front Desk Responsibilities

- Serve as the first point of contact by greeting clients and guests professionally
- Manage incoming calls, direct inquiries, and resolve client requests efficiently




- Maintain branch directories and communication updates
- Handle incoming/outgoing mail, courier services, and internal documentation
- Coordinate meetings, including boardroom scheduling and catering arrangements

Required Qualifications

- Strong ability to work independently and collaboratively within a team
- Excellent verbal and written communication skills
- Proven commitment to delivering high-quality service
- Highly organized with strong attention to detail
- Ability to multitask in a fast-paced, changing environment
- Proficiency in Microsoft Office Suite
- Tech-savvy with the ability to quickly learn new systems and tools

Preferred Qualifications

- Undergraduate degree or diploma in Business or related field
- Industry-related coursework (completed or in progress)
- Prior administrative experience
