About the Job
In this role, you will be responsible for maintaining accurate corporate records for a large group of real estate companies operating across Canada and the U.S. You will handle a wide range of corporate documents and filings that support the organization’s legal and governance framework. Working closely with senior leadership, you will help ensure that all entities remain compliant, well-documented, and ready for audits, transactions, and ongoing operations.

Position Overview
You will manage the full lifecycle of corporate records for a portfolio of entities. You prepare and file corporate documents with the appropriate government bodies and financial institutions, maintain accurate lists of companies, and ensure timely updates when changes occur. You also assign numbered companies to internal stakeholders for projects and review miscellaneous legal and corporate documentation. This role is key to keeping the organization’s corporate structure organized, compliant, and easy to navigate for internal decision-makers.
Key Responsibilities
- Prepare and file corporate documents (incorporations, amendments, resolutions, returns, banking documents,
nominee agreements) with relevant authorities.
- Maintain and update corporate registries and lists of entities across multiple jurisdictions.
- Assign numbered companies to internal stakeholders for various projects and track their use.
- Review and verify corporate documentation for completeness and accuracy.
- Coordinate distribution of updated corporate information to internal teams as changes occur.
Desired Candidate
- Diploma from a CEGEP in Legal Affairs (or equivalent education in paralegal/legal studies).
- Minimum 5 years of experience in corporate legal or corporate services work.
- Strong proficiency with MS Office and comfort working with documents and spreadsheets.
- Fully bilingual in French and English, spoken and written.
- Detail-oriented, organized, and able to manage multiple deadlines with minimal supervision.
