About the Team
The Ira Kalemi Real Estate Team is a high-performing, client-focused real estate team based in Toronto. We pride ourselves on delivering exceptional results and a concierge-level experience for every client we work with. As our team continues to grow, we're looking for a sharp, organized, and experienced administrative professional to be the operational backbone of our day-to-day business.
About the Role
This is not a typical admin job. You will be a central player in everything that keeps our transactions, listings, and client relationships running seamlessly. From managing complex deal files to creating social media content, no two days look the same — and that's exactly what makes this role exciting.
⚠️ Previous real estate administrative experience is required. Applications without it will not be considered.
What You'll Be Doing
Transactions & Compliance
- Maintain and manage transaction files in compliance with brokerage procedures and real estate regulations
- Monitor agreements and proactively notify agents and clients of critical dates and deadlines
- Prepare offers and manage all transaction-related administrative tasks
- Work across platforms including WebForms, DocuSign, SkySlope, DigiSign, and Follow Up Boss
Listings & Marketing
- Upload, update, and manage MLS listings including open houses and sold properties
- Create feature sheets and promotional materials using Canva Pro
- Manage and grow the team's presence on Instagram, TikTok, YouTube, and Facebook
- Coordinate with photographers, printers, and sign companies to ensure listings are market-ready
Operations & Administration
- Manage calendars, schedule appointments, and coordinate meetings
- Oversee incoming calls, emails,
and team communications
- Liaise with lawyers, mortgage brokers, and other third-party professionals
- Assist with bookkeeping including invoice processing and expense tracking
- Support market research and assist with company events
- Identify and implement process improvements and efficiencies
Client Service
- Deliver concierge-level service at every client touchpoint
- Build lasting relationships that reflect the standards and values of our team

What We're Looking For
- 2–5 years of administrative experience in the real estate industry (required)
- Proficiency with WebForms, DocuSign, SkySlope, Follow Up Boss, and Canva Pro
- Strong written and verbal communication skills in English
- Exceptional organizational skills and attention to detail
- Experience with bookkeeping and event planning is an asset
- Real estate license is optional but an asset
- Valid driver's license and ability to travel within the GTA
- Flexibility to work some evenings and weekends

What We Offer
- $50,000 – $65,000 per year, commensurate with experience
