The Opportunity:

The Production Administrator plays a critical role in supporting daily operations within a fast‑paced, unionized food manufacturing environment. This position is responsible for maintaining accurate production data, coordinating schedules, supporting materials ordering, and ensuring compliance with food safety and collective agreement requirements.

This role maintains data integrity in SAP, enabling efficient production flow, and ensuring timely availability of materials to meet production demands.

Reason for vacancy: Existing Headcount.
Base Salary: $41,000 - $57,000 CAD per year.

Snapshot of a Day-in-the-Life:

Production Coordination & Support:

- Provide administrative support to Production, FSQA, Maintenance, and Leadership teams.
- Assist in the development and execution of daily and weekly production schedules.
- Support shift handovers with accurate and timely production reporting.
- Monitor production performance and escalate issues related to downtime, labor, or inefficiencies.

SAP Data Management & Reporting:

- Accurately enter and validate production data in SAP (yields, downtime, labor hours, waste).
- Generate and distribute daily, weekly, and monthly production reports.
- Ensure alignment and accuracy across SAP modules (Production, Inventory, Maintenance).
- Investigate and resolve data discrepancies in collaboration with cross‑functional teams.

Materials Ordering & Inventory Coordination:

- Monitor usage of raw materials, ingredients, and packaging.
- Create and manage purchase requisitions and/or orders in SAP.




- Coordinate with Procurement and Warehouse teams to ensure timely material availability.
- Track deliveries and proactively address shortages or delays.
- Support inventory reconciliation, cycle counts, and variance analysis.
- Maintain accurate records to support production planning and minimize disruptions.

Compliance & Documentation:

- Maintain production records in compliance with HACCP, CFIA, and GMP standards.
- Ensure documentation is complete, accurate, and audit‑ready.
- Support internal and external audits by organizing and retrieving required records.

Communication & Continuous Improvement:

- Act as a liaison between Production, Quality, Maintenance, HR, and Supply Chain.
- Coordinate meetings, prepare reports, and track action items.
- Support continuous improvement initiatives through data tracking and reporting.
- Identify opportunities to improve reporting accuracy, efficiency, and material flow.

What You’ll Bring:

- Diploma or certificate in Business Administration, Operations, or a related field preferred.
- 2–4 years of administrative experience in a manufacturing environment (food industry preferred).
- Experience working in a unionized environment is strongly preferred.
- Experience with SAP, particularly in production, inventory, or purchasing modules.

- Proactive problem‑solving mindset with the ability to escalate issues effectively.
