Accounts Payable Associate (2‑Year Contract Starting May) Position based out of the Langford office. Reports to the Financial Controller and is responsible for ensuring the efficient and accurate processing of all accounts payable transactions and payments, managing vendor relationships, and supporting the broader accounting team with various finance‑related tasks.
Areas of Responsibility
Process accounts payable transactions, including management of packing slips, invoice entry and obtaining the necessary approvals from relevant project or department management.
Receive vendor invoices and other documents via email and direct them to appropriate recipients for approvals.
Maintain an electronic filing system of vendor invoices to ensure easy access by the finance team.
Prepare semi‑monthly cash disbursement reporting, cheque runs and EFT payments.
Manage monthly online bill payments including vehicle lease payment, vehicle gas, cellphones, utilities and other business expenses.
Review and reconcile monthly vendor statements, working with vendors to clear discrepancies.
Post project and work order permit transactions on a weekly basis.
Work with the Purchasing department to manage and resolve any purchase order and/or invoicing issues.
Manage company gas cards and cellphone department allocations.
Manage business license renewals, insurance, and trade association/business group payments.
Provide backup support for reception, including answering the main switchboard phone, taking messages,
and directing calls as necessary.
Other duties as required.
Qualifications
Proficient in MS Office Suite (Outlook, Word, Excel). Experience with advanced Excel functions (e.g., pivot tables, VLOOKUP) is a plus.
Experience editing and creating documents with Adobe Acrobat.
Ability to operate basic office equipment such as copiers, scanners, printers, and multi‑line phone system.
Understanding of and competency using computerized accounting systems such as Sage or Quick Books (experience with Jonas software is an asset).
Strong organizational skills with the ability to manage multiple tasks and deadlines.
Excellent interpersonal and communication skills, with the ability to collaborate effectively with team members and engage positively with internal stakeholders and the public.
Eagerness to learn and grow professionally, with a proactive approach to asking questions and seeking clarification when necessary.
Demonstrated interest in career advancement and the potential for progressing into higher‑level positions.
