The Client:
Our client is a well-established and growing real estate ownership and property management group with a diversified commercial portfolio across the Lower Mainland. With a strong reputation for operational excellence and tenant service, they offer a collaborative, qualified environment with long-term growth potential. The role is based out of their downtown Vancouver head office and supports a agile team across property management and leasing functions.
The Position:
This is a highly visible, front-facing position that plays a critical role in the day-to-day operations of a commercial portfolio. Acting as a key point of contact for tenants, clients, and visitors, you will support both property management and leasing teams with a mix of administrative, operational, and marketing responsibilities.
Key responsibilities include:
- Acting as the first point of contact – answering phones, greeting visitors, and managing general inquiries
- Coordinating and responding to emails, service requests, and work orders through property management systems
- Issuing and tracking work orders and maintaining tenant documentation including insurance certificates
- Assisting with accounts payable, invoice coding, and purchase order processing
- Supporting office operations including mail distribution, inventory management, and general administration
- Preparing leasing documentation such as offers to lease, lease agreements, and renewals
- Maintaining accurate and up-to-date vacancy listings, marketing materials, and leasing collateral
- Managing online presence (website, Linked In, etc.) to promote leasing opportunities and property updates
- Supporting leasing initiatives including tracking availabilities, floorplans, and tenant communications
This is an excellent opportunity for someone looking to gain exposure across both property management and leasing within a professional commercial real estate environment.
The Requirements:
- 1–3+ years of administrative or clerical experience (real estate experience preferred)
- Exposure to commercial property management environments is considered an asset
- Experience with Yardi or similar property management/accounting software is an asset
- Leasing administration or marketing experience is an asset
