Office Administrator (Bilingual – French/English)

A well-established and growing travel organization is seeking a highly organized and proactive Office Administrator to support day-to-day operations, compliance, and HR functions. This is a key role within the business, ensuring smooth internal processes while supporting both employees and leadership.
The Opportunity
This position offers a unique blend of administration, compliance, and HR responsibilities. You will play an integral role in maintaining an efficient, compliant, and well-structured office environment while contributing to employee experience and organizational effectiveness.
Key Responsibilities
• Oversee daily office operations and administrative functions
• Ensure compliance with regulatory bodies (IATA, OPC, etc.)
• Support recruitment processes including job postings, screening, and onboarding
• Maintain employee records and HR documentation with strict confidentiality
• Coordinate benefits administration and respond to employee inquiries
• Monitor contracts, policies, and internal procedures
• Track employee absences, vacations, and leaves
• Manage relationships with external partners (insurance, regulatory bodies, associations)
• Maintain licenses, permits, and certifications
• Organize meetings, internal communications, and company events
• Support employee engagement and overall office environment
Qualifications
• 2+ years of experience in office administration and/or HR
• Secondary education in Administration, Human Resources, or related field
• Strong knowledge of employment standards and labour laws
• Experience with compliance and regulatory processes (travel industry experience is an asset)
• Highly organized with strong attention to detail
• Ability to multitask and prioritize in a fast-paced setting
• Strong communication and interpersonal skills
• High level of discretion and professionalism
• Fully bilingual in French and English (required)
• Experience with HRIS systems is considered an asset
