About the Role:

The Accounts Payable Clerk is responsible for performing day-to-day financial transactions and ensuring timely, accurate processing of vendor invoices, payment runs, and account reconciliations. This position is a one-year contract role (with potential for permanent placement) that supports the Finance department by maintaining accurate financial data and assisting with cost management initiatives. This position operates under the direct supervision of the Senior Cost Accountant and serves as a direct report to the Director of Finance.

Key Responsibilities:

- Process vendor invoices, ensuring proper coding, authorization, and compliance with company policies.
- Match purchase orders, receiving records, and invoices; investigate and resolve discrepancies.
- Prepare and execute payment runs (ACH, wire, check, and credit card) on scheduled intervals.
- Maintain accurate and up-to-date accounts payable records, vendor files, and payment documentation.
- Reconcile monthly corporate credit card transactions and statements and prepare corresponding accounting entries for posting in the ERP system.
- Review and code employee timesheets to ensure accurate project time tracking and allocation.
- Monitor aging reports and follow up on outstanding invoices or issues.
- Coordinate with purchasing, operations, and other departments to resolve invoice and payment questions.
- Assist with month-end and year-end closing activities, including accruals and reconciliations.
- Support audits by providing documentation and responding to inquiries.




- Contribute to continuous improvement of AP processes, internal controls, and financial accuracy.
- Perform other accounting duties as assigned by the Senior Cost Accountant or Director of Finance.

Qualifications:

Education & Experience

- High school diploma or equivalent required; associate degree or coursework in accounting/finance preferred.
- 1–3 years of experience in accounts payable or general accounting.
- Experience with ERP or accounting systems (e.g., Infor LN preferred, SAP, Oracle, Net Suite, Quick Books).

Skills & Competencies

- Strong attention to detail and accuracy.
- Excellent organizational and time-management skills.
- Ability to work in a fast-paced setting and meet deadlines.
- Good communication and interpersonal skills to work effectively with internal teams and external vendors.
- Proficiency in Microsoft Office, particularly Excel.
- Understanding of GAAP and basic accounting principles (preferred).

Working Relationships:

- Works closely with Purchasing, Quality Assurance, Operations, Inventory Control, and other cross-functional teams to support the financial workflow and resolve issues.

Work Environment:

- Office-based role (with potential hybrid flexibility depending on company policy).
- Occasional overtime may be required during month-end close or audit periods.
- One-year contract position with the potential for extension based on performance and business need.
