The Role
We are seeking an experienced Client Operations Associate to support financial services workflows and the consistent delivery of high-quality client service. This is an execution-focused role within a structured, process-driven environment and is not a general administrative or reception position.
You will play an important role in ensuring that both our internal operations and client experience run smoothly and consistently as we continue to grow.
Hours
This position will begin as a part-time role, with flexibility to structure it as either a part-time employee or contract arrangement depending on candidate preference. Hours are Monday through Friday mornings, totaling 20 hours per week (exact start and finish times are negotiable but must include core hours of 10am to 1pm). There is potential for the role to expand into a full-time position over time, depending on performance and business needs.
What You Will Do
You will support day-to-day financial services operations and client workflows, with a focus on accuracy, consistency, and a high standard of client care, including:
- Communicating with clients via phone and video to support onboarding, transactions, and follow-up items
- Processing mutual fund and segregated fund transactions accurately and efficiently
- Managing insurance applications from submission through to placement
- Ensuring documentation is complete,
accurate, and compliant with internal standards
- Monitoring outstanding items and resolving workflow bottlenecks
- Coordinating with fund companies, insurers, custodians, and internal stakeholders
- Owning the accuracy and completeness of CRM records and structured client data
- Fluent in Google Workspace applications (Sheets, Docs) as well as Canva, pdf tools and using CSV files to export or import data
- Supporting client communication related to transactions, account updates, and milestones
- Assisting with client onboarding and operational follow-through
- Supporting execution of client events and educational initiatives as required
Required Experience
Candidates must meet the following criteria to be considered:
- 2+ years of experience in banking (such as a QAFP), financial services operations or advisor support roles
- Direct experience processing mutual fund and/or insurance transactions
- Experience working within structured workflows in a financial services environment
- Strong proficiency with CRM systems and client data management
- Solid working knowledge of Google Workspace (Docs, Sheets, Forms, Drive)
- Demonstrated ability to execute detailed multi-step processes with high accuracy
- Strong written and verbal communication skills, including comfort interacting with clients via phone and video
- Ability to work independently within defined systems after onboarding
This role requires direct financial services operations experience,
particularly in mutual fund and/or insurance processing workflows. A QAFP designation is desirable but not required.
Preferred Experience
- Experience in mutual fund dealer, insurance MGA, or advisory operations environments
- Familiarity with fund companies, custodians, or insurance carriers
- Experience in licensed assistant or operations support roles
- Exposure to structured onboarding or client service workflows
- Comfort adapting quickly to established systems and procedures
What Success Looks Like
Within the first 90 days, success means:
- Accurate and reliable execution of transaction workflows
- Minimal errors in documentation and processing
- Solid ownership of assigned operational processes
- Ability to work independently within established systems
- Consistent follow-through and proactive issue resolution
- Confident, professional client communication that ensures clients feel supported, informed, and well cared for throughout the process
- Proactive outreach to clients to gather required information, provide updates, and keep workflows moving without delay
Compensation
Compensation will be based on experience and qualifications and is expected to be in the range of $25 to $30 per hour, with opportunities to work beyond 4 hours per day if desired, as the role grows. An equivalent part time salary would be in the order of $25,000 to $30,000.
There will be formal reviews at approximately the one and three month mark.

This role is best suited to someone who prefers structured, process-driven work and takes pride in accuracy, consistency, and follow-through.
