PURPOSE OF POSITION

This position leads and oversees a team of Billing Support Representatives and Corporate Support Representatives, ensuring efficient billing processes and exceptional customer service. The role supports customers by managing both insured and broker inquiries related to payments, NSF transactions, account reconciliation, and policy-level collections. This role is responsible for maintaining high service standards, optimizing billing workflows, and fostering strong relationships with internal and external stakeholders.

KEY RESPONSIBILITY AREAS

Billing Operations Oversight

- Oversee the application of payments and collections of accounts receivable, ensuring accuracy and timeliness.
- Reconcile outstanding accounts receivables and maintain the accuracy of monthly broker statements and related financial reports.
- Manage and maintain Broker AR files within RRM’s operating systems, ensuring data integrity and compliance.
- Prioritize collection activities in partnership with the Billing Support team and oversee the management of overdue accounts at a policy level.
- Lead process improvement initiatives, operational projects, and reporting enhancements to strengthen efficiency, accuracy and customer experience within billing operations.
- Maintain knowledge of billing and underwriting procedures, providing technical guidance and training to team members.
- Provide testing and validation support for Guidewire Billing Centre updates.
- Serve as a point of contact for insured and broker inquiries concerning payments, NSF transactions, reconciliations, and collections at a policy level ensuring timely and effective resolution.

Corporate Services and Support

- Oversee corporate administration delivered out of the Altona office, ensuring efficient day-to-day operations.
- Maintain knowledge of corporate support procedures and processes to facilitate clerical, mail and processing activity.
- Provide positive solutions-based strategies to support Corporate Support Representatives in resolving customer inquiries and operational issues.
- Lead the development,



administration and maintenance of the corporate support functions including reception, processing, and distribution services.
- Lead and mentor the Billing Support and Corporate Support teams, providing clear guidance, coaching, and accountability.
- Provide training, supervision and ongoing development for direct reports, ensuring they have the skills, knowledge and support to perform their duties effectively.
- Conduct timely performance reviews, assess learning and development needs, and recognize team members through appropriate rewards and acknowledgements.
- Establish team goals aligned with department objectives and RRM strategies.
- Motivate, coach, and hold staff accountable to maintain high service levels and professionalism.
- Maintain and oversee the content of training manuals and operational processes, ensuring they remain accurate, relevant and aligned with evolving business needs.

QUALIFICATIONS AND SKILLS

- 10+ years of progressive experience in a billing, accounts receivable or customer service‑related field.
- Post‑Secondary education in Accounting or Business Administration.
- CPA or CIP designation (or working towards) considered an asset, and/or equivalent qualified qualification.
- 2–3+ years of people leadership (billing, AR or shared services teams).
- Proven experience in customer service, including interactions with brokers and other external partners.
- Excellent written and verbal communication skills, ability to work cross‑functionally with Accounting, Operations and IT.
- Strong problem solving, analytics and decision‑making abilities.
- Demonstrated flexibility and adaptability, thriving in high‑volume, deadline‑driven environments.
- Operates with integrity and handles confidential information responsibly.
- Proven conflict management and resolution skills.
- Proficiency with computer systems and software including: Microsoft Office Suite, Microsoft Dynamics, and Guidewire.
