Job Description
Title: Contract Administrator
Summary: Responsible for providing best-in-class sales and administrative support to PrimeServ.
Key Job Responsibilities:
- Perform order entry per the division SAP Business One procedures and approvals.
- Handle customer inquiries externally and internally; assess feasibility in the commercial regard.
- Prepare quotes using MAN-ES webshop and internal terms and conditions, and edit the project list.
- Follow up on quotes to customers to transform to sales.
- Perform order settlement and handling, as well as execution of technical / commercial follow-up tasks such as securing commercial ancillary conditions.
- Summarize orders, calculate P&L;, and prepare jobs for invoicing.
- Initiate goods receipts, delivery and invoice processing, and perform follow-up.
- Investigate and resolve order discrepancies.
- Contribute to the order intake and invoice forecasting and sales planning process.
- Actively participate in establishing MAN-ES’ local business presence.
- Ensure complete compliance with MAN’s Company Code of Conduct.
- Provide information, maintain records, and carry out all duties accurately, efficiently and timely.
- Undertake any other tasks that may be reasonably required.
- Enhance the image and reputation of the company while supporting its commercial interests.
- Provide 24/7 shift support for spare parts orders if required.
Required Education:
College Diploma in Office/Business Administration
Required Experience:
- Commercial experience, especially regarding quotations to order processing and billing.
- Familiarity with Marine Spare Parts,
Workshop and Service sales.
Other Skills:
- Results driven; ability to develop and retain key business, consultant and customer relationships.
- Ability to liaise and communicate at all levels in the business.
- Initiative and proactive approach combined with follow-up skills.
- Outgoing, motivated, patient and trustworthy to connect with a wide range of different people.
- Assertive, self‑motivated with the ability to work independently as well as within a team.
- Excellent organizational skills.
- Robust attention to detail.
