Project Manager

Position Overview

The Project Manager is responsible for internally leading project(s) from inception to execution, including planning, execution, and managing people resources and scope of the project(s). The role ensures functional team alignment so that activities and deliverables for medium‑size complexity projects/accounts are executed on time, on budget, and at the highest possible level of quality. The Project Manager supports client engagements and conforms to agency process. Working closely with the account and functional department project leads, the Project Manager meets and exceeds performance targets, fosters a positive work setting, and serves as a model of professionalism and a reflection of the agency’s personality and culture.

Planning – Responsibilities

- Partner with Account to apply experience across program mix, technologies, and promotional channels to deliver innovative solutions, leveraging agency capabilities that address client needs.
- Create and manage project workplans at the program level, partnering with Account to define project requirements and success metrics and Resource Management to develop appropriate staff plans.
- Create risk mitigation plans (when needed) with possible scenarios and solutions for projects based on executional experience as well as specific areas of project uncertainty.
- Collaborate with functional department project leads to evolve agency service delivery process and toolset.

Execution of Work

- Manage execution of work on assigned projects, holding all team members accountable to the delivery of their assigned work, maintaining project SOPs,



and adhering to quality control practices.
- Manage and document work status/hotsheets ensuring that the team tracks appropriately to the workplan.
- Proactively track resource needs across projects and alert the resource manager of unfulfilled gaps or capacity.
- Actively mitigate risk by anticipating potential executional barriers, identifying quality, budget, and timeline impacts, and developing possible solutions with appropriate input and collaboration.
- Identify and document internal changes in scope or workplan and alert Account if client follow‑up is needed.
- Resolve executional issues in partnership with account, ensuring appropriate team communication and escalation as warranted.

Client Interface

- Participate in client status/execution meetings as needed to support communication/understanding of executional tasks and processes.
- Partner with Account to help problem‑solve executional challenges.

Agency Interface and Process

- Work with Account lead to define team processes, communication plan, and rules of engagement, and manage team adherence.
- Develop and deploy consistent project documentation including scopes of work, project plans, solution blueprints, project definition plans, contact/status/reports/hotsheets.
- Collaborate with department leads to develop, document, and disseminate clear workflow plans and staff assignments to support execution of work.

Financial Management

- Employ agency methodology for estimating project hours, fees, and costs and provide solid rationale.




- Partner with Account to represent agency financial objectives when communicating and negotiating budgets and amendments.
- Monitor staffing and expenditures across the team to ensure actuals remain in line with estimates, client guidelines, and agency financial performance goals.
- Maintain timely and appropriate communication of financial status across assigned projects to Account and supervisor based on agency SOPs.
- Collaborate with Account to manage scope changes and financial reconciliations.
- Support fiscal account management with Account leads by providing information and POVs.

Preferred Qualifications

- 3-5 years of project management experience, preferably in pharmaceutical advertising or medical communications.
- Expertise in managing project budgets, timelines, and resources.
- Demonstrated ability to successfully onboard and train others in the Associate Level.
- Excellent verbal and written communication skills.
- Excellent organizational and time‑management skills.
- Ability to think on your feet and resolve issues quickly with little to no direction from supervisors; makes good judgments and renders solid decisions.
- High attention to detail and a commitment to delivering quality results.
- Adaptability and ability to manage multiple priorities.

Salary Range

$70,000-$110,000 CAD. The salary range provided represents what a potential hire may expect to earn in this role at BGB. Actual salary decisions will be influenced by several factors that we use to determine overall fit, including experience, education, training, demonstrated qualifications, and organizational need. Salary is only one component of the total rewards package offered at BGB Group.
