Executive Administrator

Wage: $60,000 – $80,000
Schedule: Monday to Friday 7am to 3pm
Reporting to the Mill Manager, the Executive Administrator plays a vital and dynamic role supporting the general manager, leadership team and the Mill as a whole. This role provides confidential administrative support while serving as a liaison between various stakeholders.
Duties include facilitating effective communication, managing complex calendars, coordinating travel and expenses and handling diverse administrative duties. This role leads the planning and execution of various social and business events for the Mill.
Responsibilities
- Proactively manage the General Manager’s calendar, resolving schedule conflicts while ensuring readiness for meetings.
- Plan meetings as requested by coordinating schedules of selected participants, reserving adequate meeting space, preparing agendas and ensuring participants are equipped for meetings.
- Prepare and review professional correspondence, reports and presentations that effectively communicate key messages to diverse audiences.
- Design, author and coordinate a monthly newsletter for mill-wide distribution.
- Maintain and prepare spreadsheets, statistical summaries and dashboards consistently or by request.
- Coordinate travel arrangement and manage expense reporting with precision and timeliness.
- Lead the planning and execution of Mill events including, but not limited to, mill celebrations, community outreach, and mill visits (may require support outside of regular hours).
- Oversee Mill donations and sponsorships and champion fundraising initiatives.
- Coordinate retirement and service anniversary celebrations.
- Answer and direct phone calls, prioritizing messages and conveying critical information efficiently.
- Coordinate orders for office supplies and other identified business needs.
- Collaborate across departments and with the corporate office to execute projects,
streamline communication and ensure timely delivery of initiatives.
- Oversee document management processes including digital filing, record retention and archiving to ensure compliance and easy retrieval.
- Support the maintenance of SharePoint sites ensuring content is current, organized and accessible.

- Self-directed and capable of working independently with minimal supervision.
- Exceptional time management and multitasking skills. Adept at handling multiple projects with competing priorities and deadlines.
- Confident communicator skilled in active listening, clear writing and presenting.
- Commitment to confidentiality and strong problem solving & analytical abilities combined with excellent judgment and discretion.
- Detail oriented with a keen eye for accuracy.
- Proactive and resourceful, taking initiative to advance ongoing projects and identify opportunities for improvement.
- Team-oriented with a friendly, positive demeanor and a skilled approach that enhances workplace culture.
- Creative thinker with a strong eye for design, capable of producing visually appealing content and presentations. Proficient in Canva or other design platforms to develop engaging graphics and materials.
Qualifications
- Diploma in Office Computing, Administration or equivalent.
- Three to five years of related administrative experience including supporting executive level individual(s).
- Proficient in the use of standard desktop applications and Microsoft 365 suite, including SharePoint, Outlook with strong skills in Word, PowerPoint and Excel.
- Previous experience supporting fundraising campaigns would be an asset.
- Previous experience organizing events or company functions is an asset.
- Valid driver’s license.
