The Feldman Agency is seeking a highly experienced Senior Executive Assistant / Coordinator to support senior agents and operate at the center of our booking business.
This is not a traditional EA role .
This role is designed for someone who has worked on a live music, touring, or event agency booking desk and understands how to manage artists, offers, and live deal flow in real time .
About the Role
You will act as a right hand to an executive-level agent , while also functioning as a senior operator across booking, client service, and internal coordination .
You will be expected to:
- Lead by example in how deals are processed and executed
- Act as a go-to resource for Booking Coordinators and admin staff
- Help improve and evolve how our systems and processes work
Key Responsibilities
Agent & Executive Support (Booking-Centric)
- Support an executive-level agent with top-tier service across all booking activity
- Manage complex calendars tied to touring, routing, and live event schedules
- Oversee high-volume communications with buyers, promoters, managers, and clients
Booking & Deal Flow Ownership
- Process, review, and summarize incoming offers, holds, and confirmations
- Coordinate bookings across assigned roster and maintain accurate artist calendars and routing
- Prepare and issue contracts , ensuring timely execution, deposits, and compliance
- Facilitate announce and on-sale execution , ensuring all approvals are in place
- Manage:
- ticket counts
- settlements
- final show reporting
Tour & Client Coordination
- Aid in tour building through:
- routing support
- calendar management
- Maintain strong relationships with clients, buyers, promoters, and partners
- Respond to inquiries quickly and professionally in a fast-moving environment
- Act as a senior resource and leader to Booking Coordinators and administrative staff

- Help troubleshoot issues and maintain consistency across the team
Operations, Systems & Process Improvement
- Contribute to improving internal workflows, booking processes, and team efficiency
- Assist in the design, implementation, and ongoing optimization of internal database systems
- Ensure accurate, organized, and accessible records across:
- offers
- contracts
- artist assets
- Support special projects, reporting, and internal initiatives
Additional Responsibilities
- Assist with immigration paperwork and withholding tax compliance
- Coordinate meetings, prepare agendas, and capture notes
- Manage expenses and administrative reporting
What You Bring
- 5+ years of experience in a live music, touring, or event agency environment
- Direct experience working on a booking desk or supporting an agent roster
- Strong understanding of:
- offers, holds, confirmations
- touring logistics and routing
- contracts, deposits, and settlements
- on-sales and event execution
- Experience mentoring or guiding junior team members
- Ability to manage high-volume, time-sensitive workflows with precision
- Robust systems mindset with interest in improving processes and tools
- Exceptional organization, discretion, and communication skills
- Calm under pressure with a proactive, solutions-oriented approach
