Position Overview
We are seeking a meticulous, highly organized, and intellectually capable Administrative Assistant to support our legal team. This is not a standard clerical role; we require an individual with exceptional writing skills and the ability to navigate complex information. The successful candidate will manage essential administrative functions, assist with matter management, and ensure all time-sensitive deadlines are met with absolute accuracy.
While this is currently a part time position (20 hours per week), there is a distinct opportunity for this role to evolve into a full-time position as the firm continues to grow.
Key Responsibilities
- Correspondence & Drafting: Draft professional legal and business correspondence with high linguistic precision.
- Matter Management: Track the progress of active files and ensure all procedural milestones are documented.
- Court Filings: Execute time-sensitive court filings in strict accordance with court rules and deadlines.
- Financial Administration:
Perform reliable data entry and meticulous tracking of firm and client expenses.
- Operational Support: Utilize open-source office software to maintain organized digital filing systems and documentation.
- Multitasking: Manage competing priorities in a fast-paced, deadline-driven environment.
Candidate Requirements
- Educational Background: A Bachelor of Arts (B.A.) in Literature, Philosophy, History, or Classics is required.
- Linguistic Proficiency: Full professional fluency in both English and French (written and spoken) is mandatory.
- Technical Skills: Proficiency in using open-source office software (e.g., LibreOffice, Nextcloud).
- Organizational Excellence: An exceptional ability to multitask and manage complex workflows without loss of accuracy.
- Initiative: A proven ability to take initiative, anticipate needs, and proactively address tasks without constant supervision.
- Precision: A demonstrated ability to handle data entry and expense tracking with zero margin for error.
