Duties and Responsibilities:
Reporting to the Associate Vice President, Academic, the Interim Associate Dean works towards a strategic vision for the Faculty of Liberal Studies and assists in the future development of programs and partnerships, leading faculty and staff in planning, securing resources, implementing and evaluating activities related to academic operations, ensuring service to students, fiscal management and facility oversight. The Interim Associate Dean represents the Faculty both internally to the College and externally to the various stakeholders and partners. The Interim Associate Dean also serves as part of the institution's academic leadership team through active participation in various institutional planning, including implementing and evaluating activities.
Academic Programs
- Support the develop and implementation of a strategic curriculum process that clarifies curriculum goals and provides for program priorities, curriculum currency, quality, flexibility and program cost-effectiveness.
- Promote effective and innovative instructional methods through collaboration with the Faculty’s faculty and the College’s Centre for Teaching and Learning, as well as identifying and encouraging appropriate professional development opportunities for faculty related to program quality and teaching excellence.
- Provide leadership for program growth through evaluation and revision of existing courses and curricula, and participation in program reviews.
- Support, with forecasting, student enrolment numbers for all semesters for budgeting and recruitment purposes.
- Participate in program marketing efforts in coordination with the college’s marketing department.
- Collaborate with supervisor to identify, negotiate and oversee academic articulation agreements with other institutions.
- Collaborate and identify detailed program needs including required specialized space, necessary equipment and equipment upgrades, classroom/office renovations, etc.
- Participate in the implementation of initiatives established by the college and government authorities as they relate to the Faculty’s academic enterprise including quality plans, PLAR, General Education, Essential Employability Skills and the Minister’s Binding Policy Directives on Programs of Study.
Recruitment and Development
- Determine need for contract faculty based on identified academic needs.
- Determine skills, abilities and academic requirements the candidates must possess to effectively fill positions.
- Participate in the recruitment and selection of full-time faculty.
- Make final selection decision for new part-time faculty hires.
- Provide orientation and early support/mentoring for part-time faculty and determine whether performance is satisfactory.
- Complete the evaluation of part-time faculty according to HR requirements.
- Determine, conduct and document all disciplinary action, when necessary, in accordance with college policies and collective agreements.
- Administer and approve resource allocation for a comprehensive professional development program for faculty and staff.
- Implement a system of regular and on-going in-class evaluation of faculty and/or part time faculty
Workload Assignments
- Assign workload to full time faculty based on program requirements, in accordance with college practice and current union collective agreements.
- Address faculty related workload concerns.
- Ensure an effective working environment for employees and the teaching/learning process.
- Monitor course registrations and make appropriate adjustments in course schedules and instructor assignments/overtime, etc.
Faculty Leadership
- Supervise faculty, co-ordinators, and support staff in the Faculty.
- Manage conflict to ensure minimal disruption to the organization.
- Ensure up-to-date knowledge of and adherence to academic and support staff union contracts, college and ministry policies, and college expectations.
- Prepare and oversee development of policies, procedures and systems for the effective operation of resources within the Faculty.
- Provide effective Faculty meeting leadership, management and facilitation.
- Participate in Faculty and College academic occasions and ceremonies such as program information nights, Convocation, honours ceremonies, etc.
- Provide the necessary oversight to ensure the safety of students, faculty and staff within the Faculty. Collaborate with other College personnel engaged in safety and risk management.
- Provide leadership for the day-to-day operation of the Faculty by scheduling meetings, appointing committees, keeping proper records, establishing and meeting with the necessary operational committees, and similar activities.
- Utilize appropriate rewards and recognitions for faculty and staff, especially in relation to their teaching and service responsibilities.
- Acts as an arbitrator for faculty/staff for problem-solving and or/troubleshooting where other avenues have been exhausted.
- Identify and recommend new opportunities for revenue generation; program development and efficiencies; cost containment, etc.
- Monitor Faculty ‘risk management’ issues by ensuring that all associated insurance-related negotiations, documentation and communications are completed by required deadlines including liaising with appropriate college departments.
College Leadership
- Contribute to the College’s overall planning and development through active involvement in a variety of committees, and sub-committees, along with leadership on the Academic Leadership Team.
Scheduling/Timetables
- Support development and facilitation of faculty and student timetables for each semester of the academic year in a timely manner by:
- Working with Faculty staff and Central Scheduling to develop schedules that: considers facility needs, times of day classes are offered, and student needs.
- Work with members of other Faculties to coordinate course offerings by Liberal Studies that support other programs.
- Ensure schedule accuracy and all other details associated with scheduling such as proper teaching facilities, and part-time/contract faculty availability.
Students
- Oversee the Faculty’s academic advisement function for incoming and continuing students by working closely with the student advisor, including monitoring approval of changes of schedules, prerequisite waivers, changes of emphasis, and course substitution. Respond to student academic problems as required.
- Respond within policy timelines to student grade appeals, complaints and other concerns brought forward by students.
Communication
- Manage the preparation and dissemination of necessary Faculty-wide communications including, but not limited to Student/Program Handbook, class and faculty schedules, College Calendar, etc.
- Active involvement in College and Faculty social events.
- Ensure that staff are informed of Faculty and College developments in a timely manner.
- Represent the Academic area on community and college system committees. Network with provincial colleagues through attendance at regional and provincial meetings.
- Maintain an ongoing awareness of the local and provincial political environment.
- Ensure regular informal contact with staff.
- Build relationships with key client groupings.
- Act as formal contact between the Faculty and all other functional areas within the College. Help to resolve problems related to the interaction between the Faculty and other college functional areas.
- Maintain an external focus to identify future opportunities for the College. Work with Program Advisory Committees, Board of Directors and other external bodies to ensure programs are relevant and current.
- Serve the interests of the Faculty within the college system, province, Durham Region community, outside committees and through contacts with outside agencies and organizations.
Fiscal Management
- Working with the supervisor, formulate, defend, and manage efficiently and fairly the operating budget of the Faculty, with the aim of securing resources in support of the Faculty’s activities and allocating those resources in accordance with the best interests of the Faculty.
- Provide enrolment projection numbers to support the annual College budget planning.
- Review budget spreadsheets provided by the College’s Finance department for accuracy.
- Assist in the development of capital budgets in liaison with Faculty staff for facility improvements.
- Monitor, approve and document Faculty expenditures.
- Operationalize the effective use of human, physical and financial resources for the Faculty, continually reviewing resources and reallocating resources appropriately as necessary.
Strategic Management
- Determine and clearly communicate the Academic Plan, while also developing annual measurable goals for the Faculty;
- Develop, model and reinforce values that support this strategic direction.
- Gain and build Faculty consensus for the strategies and a commitment to new ideas and courses of action.
Qualifications:
- A minimum of a Master’s degree in a field relevant to the Faculty of Liberal Studies.
- A minimum of seven (7) years of leadership experience in an academic setting is required.
- The incumbent will have general expertise with and knowledge of programs offered within the Faculty, along with at least two years of teaching experience in a college environment.
- Demonstrated commitment to equity, diversity and inclusion in all matters related to students, staffing and programming.
- The successful candidate will have leadership, administrative, and project management skills with a proven capacity to handle tremendous detail and balance multiple functions at any time.
- The chosen candidate will display the ability to cope with a demanding workload, remain calm and focused while under pressure, and will be able to deal with a wide range of individuals with diverse backgrounds and needs.
- Exceptional communication, problem-solving, and decision-making skills are required. Along with excellent time-management, the successful candidate will be highly organized, with a proven ability to set and achieve goals.
- Demonstrated skills in conflict resolution and advocating for staff, students, programs, and the College as a whole.
- Understanding and experience with curriculum development and revision.
