The Executive Assistant acts as a trusted partner, handling sensitive information with discretion while enabling the Director to focus on strategic responsibilities.This is an in-office position based out of our office located in Pointe Claire, Montreal. As this role supports customers across Canada, English proficiency both written and verbal is required.Key ResponsibilitiesnManage the Director’s calendar, schedule meetings, and prioritize requests to optimize time and focus on critical matters.nCoordinate travel arrangements, expense reports, and logistics.nScreen, prioritize, and respond to emails, calls, and inquiries in a professional manner.nMaintain confidentiality and handle sensitive information with discretion.nEnsure the Director is fully prepared for senior management and strategic planning meetings including assembling meeting materials and reports.nTrack and gather data required for Director’s KPIs and assist in preparing progress updates for CEO and leadership team.nCoordinate timely submission or reports, documents,



and deliverables to the CEO and management team.nAssist in preparing dashboard summaries and documentation to support executive decision-making.nIdentify opportunities to streamline administrative, reporting, and coordination processes.nMaintain awareness of corporate goals, deadlines, and priorities to help the Director align departmental outputs with organizational strategy.nSupport resource planning, including gathering data on workloads, priorities, and timelines.nServe as a critical point of contact between the Director, engineering team, project team, and cross functional departments.nFacilitate effective communication by drafting departmental communications, reports, data analysis, or conduct research as requested by the Director.nTrack tasks, deadlines, and projects to ensure timely completion and alignment with departmental priorities.nMaintain organized systems for files, policies, and key documents.nMaintain the Engineering department’s section of the Hub (corporate SharePoint site), ensuring accurate organization and updates of key documents.nSupport special projects, departmental initiatives, and company-wide events as assigned.nLeverage AI tools to capture meeting notes, summarize discussions, and track action items for the Director.nQualificationsnExperience supporting senior leaders, ideally within an engineering, construction, or technical project environments.nStrong organizational and time management skills with the ability to manage multiple priorities in a fast-paced environment.nDiscretion,
