Position Overview
Provide coordination and administrative support for all aspects of the psychological assessment process.
Responsibilities
- Ensuring that all contract requirements and deadlines related to the coordination of the psychological assessment process are met or exceeded for assigned contracts.
- Communicating effectively with client agency contacts to ensure that all candidate submissions, inquiries and determinations are processed in a timely manner.
- Working closely with our psychologist network to ensure that all required materials, tests, candidate lists and other deliverables are provided in order to ensure effective processing of candidates.
- Support national testing network by booking testing venues, inviting candidates to sessions and processing venue invoices. Coordinate with test proctors to ensure effective delivery of service.
- Act as main point of contact for candidate inquiries throughout out the assessment process via phone and email.
- Monitor and maintain shared inboxes and databases to ensure accurate records for assigned contracts. Generate and provide reports to CM/agencies as required.
- Score and test candidate materials via Scantron machine/online portal. Filing and organizing of physical test materials.
- Solicitation and submission of psychologist invoices in a timely manner. Process timesheets, invoices and expense claims for CM approval.
- Processing courier packages and creating shipments for documents, office supplies and testing materials.
- Escalate agency/psychologist concerns to CM in timely fashion.
- Provide support/backup to other PAC’s as required.
- Assign / schedule candidate interviews with psychologist network.
- Other duties as required.
Qualifications
- College Diploma or University Degree in a related field is preferred or equivalent experience
- 1-3 years of experience in customer service and administration
- Ability to prepare and interpret schedules and detailed process plans
- Excellent organizational, customer service, written and oral communication skills
- Bilingual in English and French (verbal and written)
- Proficiency using computerized information systems, internet, Microsoft Office applications
- A clear sense of urgency to achieve results.
- A “can-do”, “let’s make it happen” attitude and a focus on a positive customer experience
- Ability to think proactively, critically, and independently to make good decisions
- Exceptional attention to detail and committed to a high degree of accuracy.
- Must be able to gather, prioritize and analyze information skillfully
- Detail oriented, self-motivated and the ability to work well under limited direction
- Robust collaboration and teamwork ability
- Keen sense of time management and flexibility
- Excellent documentation skills and attention to detail.
