We need your talents as the Executive Assistant to our Head of Product & Pricing and our Head of Digital Transformation & Business Development.

Your excellent collaboration and relationship-building skills enable you to lead, partner with, and influence others across the organization to drive effective results.
You are the go-to event coordinator and can expertly navigate your way through managing attendees, themes, vendors, venues, menus, and more.
You are excited about learning new technology and have existing experience with PowerPoint presentation development, Outlook mail & calendar management, building & running SharePoint sites, and effective file storage system implementation.
You have a strong interest in understanding the business and will use this to help prioritize tasks and requests, initiate appropriate actions to ensure an effective use of the leaders’ time, and support the team with new administrative tasks that arise
You love to ‘problem solve’ and welcome developing solutions to different problems that might arise.
What will you be doing?

For your leaders:
Complex calendar management including scheduling of all internal/external meetings, conference room bookings, and Skype/video conferencing set-up as required;
Incoming mail management, using judgment to assess urgency, to provide standard reply, and to escalate as required;
Coordination of team meetings including room & resource booking, agenda management, minutes, and action-item follow-ups;
Day to day administration support including telephone screening, drafting correspondence, preparing of presentations, meeting preparation, etc.;
Travel arrangements, including preparation of expense claims;
Anticipate issues and initiate appropriate action to ensure the most effective use of the leaders’ time.

For your team:
Management of department invoices, billing, and office management needs;
Space planning for team members and management of access to required technology systems and email distribution lists;
Business-unit continuity planning management;
Back-up support to Head of Insurance and Head of Underwriting EA as required;
Administrative support to the Individual Insurance team’s Employee Experience Committee;
Administrative support to the Strategy, Planning & MIS team as required;
Keep current with new company policies and procedures, and act as an authority on common corporate systems and software for such activities as expense reimbursement, travel arrangements, new employee onboarding, etc.
