The Opportunity

Reporting to the Chief of Women’s and Obstetric Anesthesia, the Administrative Assistant provides high quality administrative and office management support to the Chief and department members for their clinical and academic work. Responsibilities include, but are not limited to: Schedule and organize meetings and events; Prepare agendas and meeting minutes; Support physician schedules; Order supplies, equipment and arrange catering; Manage the office’s phone, email and mail; Maintain records; Compose correspondence and prepare documents; Maintain key lists; Arrange onboarding for new staff (e.g. security, scrubs, access to email, clinical systems); Prepare and submit anesthesia billing claims to MSI and third parties; Liaise with credentialling office; Enter data,



maintain databases and compile statistics; Track financial activities; Support all learner, resident and fellowship placements; Assist with research-related activities; Liaise regularly with Booking Office and OBS/GYNE as well as department partners such as NSH-CZ anesthesia, IWK Pediatric anesthesia, Dalhousie University and APMPM Administration Inc. Hours of Work

Monday - Friday, 35 hours bi-weekly

Your Qualifications

- Minimum High School Diploma or G.E.D. required.
- Graduate of a recognized Office Administration Program required.
- Minimum 6 months related administrative experience required. One (1) year is preferred.
- A combination of equivalent education and experience may be considered.




- Working knowledge of Microsoft Office and other computer programs/technology required.
- Keyboarding skills minimum of 40 wpm required, 60 wpm is preferred.
- Excellent multi-tasking, organizational and prioritization skills required.
- Proven team player with excellent communication and interpersonal skills required.
- Demonstrated ability to respectfully work with a variety of inter-professional team members required.
- Experience scheduling appointments and meetings required.
- Medical Terminology and Dicta Typing experience preferred.
- Demonstrated proficiency and experience with Access Database preferred.
- Experience in bookkeeping an asset.
- Experience organizing travel, case conferences, meetings, guest visits and teleconferences an asset.
- Experience in Meditech, Outlook, PubMed, DalMedix, ACCURO, Adobe Acrobat and the Internet an asset.




- Demonstrated experience using university and hospital libraries an asset.
- Experience using SAP an asset.
- Competencies in other languages an asset.
