Overall Summary of Duties
Reporting to the clinic manager and owner, the office administrator is responsible for coordinating the office support activities for a multidisciplinary team of allied health professionals, and their patients.
Key Responsibilities • Office administration and reception, including but not limited to, attending to phone queries, scheduling of appointments, document scanning, faxing, and filing; • Supporting practitioners with patient appointments, including preparing patients and rooms for examination; • Ensuring patient records are current and accurate; • Facilitating the referral process,
both internal and external to the clinic; • Overseeing registration of patients; • Providing and maintaining current clinic education material to patients; • Participating in facility cleaning; and • Working in collaboration with the entire interdisciplinary team.
Education & Experience: Graduate of Secondary School, University or any other accredited technical institute with an academic interest in the Health Sciences and/or Office Administration.
Abilities: • Ability to communicate clearly and concisely with patients in person, on the telephone, and in writing while demonstrating a friendly and professional demeanor; • Knowledge of medical terminology; • Ability to work with patients of different cultures and socio-economic backgrounds, as well as the ability to treat everyone with equal understanding, respect and dignity; • Ability to maintain patient and clinic confidentiality at all times; • Detail-oriented with excellent organizational skills; • Enthusiastic desire to contribute to the overall success of the clinic by demonstrating genuineness, integrity, warmth and a resolute desire to help others; and • Self-starter who thrives in an environment where he/she can be equally successful working independently as well as collaboratively in a team environment.
The working hours are as follows: Mondays to Thursdays 3:00 - 7:30pm (flexible, as late as 9:00pm) Fridays half-day afternoons Saturdays 8:00am - 12:30pm (flexible, as late as 2:00pm)
