The opportunity:

Reporting to the Founder & President,

and supporting the Winnipeg Executive team, the Executive Assistant will provide high-level, confidential and proactive administration support. Driven by a high level of emotional intelligence and interpersonal acumen, the successful candidate will use their proven organization skills, excellent writing skills, and exceptional attention to detail to manage a wide variety of administrative tasks including updating documents and presentations, prioritizing and/or responding to correspondence, maintaining calendars, scheduling meetings, arranging travel, etc.

The ideal candidate will possess a proven ability to successfully execute tasks that involve independent and practical thinking, a high level of accuracy, and excellent judgment and problem-solving abilities in both novel and routine situations. Note that this position may require some evening/weekend work based on operational demands and business priorities.

Key responsibilities include:

Providing executive administrative support to the President and Executive team

Managing and prioritizing the calendar of the Executive Team and ensure preparation for meetings and presentations with appropriate materials

Gathering, organizing, and distributing all required agendas and meeting information in advance of scheduled meetings, take minutes of meetings as required, and proactively following up on action items

Preparing correspondence and various documents such as reports, presentations, meeting agendas, and minutes

Organizing and coordinating information, workflow, and other office activities; creating new or improve existing processes and procedures to ensure administrative effectiveness

Coordinating, managing, and assisting with the planning and execution of internal and external meetings and events

Conducting research, analyzing and compiling information and preparing relevant documents and reports as required

Completing advanced word processing tasks, formatting and proofreading memos, correspondence, reports, presentations

Managing electronic files, developing and maintaining various databases and internal file structures

Utilizing a high degree of professionalism and initiative to anticipate and meet the needs of the President

Leading the coordination and planning of events and initiatives to support our charity work

Coordinating meetings and travel, and other duties as assigned.

The ideal candidate will possess:

An undergraduate degree, diploma or certificate, or equivalent experience

Previous experience in an similar role is a strong asset

Strong attention to detail, with a sense of ownership and responsibility

Proven advanced computer skills; particularly MS Word, Excel, PowerPoint, Outlook, Zoom, social media platforms, and other technology

Strong organizational skills with the ability to proactively organize and manage a high volume of time-sensitive, highly detailed, and confidential information

High level of emotional intelligence with the ability to respond appropriately to internal stakeholders, external partners, and rapidly changing situations and priorities

Excellent verbal and written communication skills

Demonstrated analytical, organizational, and problem-solving skills.

Experience with event and travel planning

Experience working in a financial, regulatory, and/or legal environment would be an asset

Conditions of employment:
