-Greets and welcoming customers in a friendly and helpful manner

-Administers day-to-day activities of the office, procedures, and systems which ensure productive and efficient office operation.

-Provides assistance and support to the office principal in problem solving, project planning and management, and development and execution of stated goals and objectives.

-Assist with reviewing of expenses, accrual & prepaid accounts etc. as assigned

-Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions on operational and programmatic matters concerning the Office.

-Organizes and facilitates meetings, conferences,

and other special events; coordinates and attends committee meetings, and participates in committee discussions, as appropriate.

-Provides and/or oversees provision of staff support to the office, to include handling walk-up and phone interactions, maintaining calendars and travel arrangements, screening, analyzing, and responding to incoming correspondence, handling day-to-day problems and situations, and provision of secretarial support.

-Proper filing/organization of documents as instructed

-Performs miscellaneous job-related duties as assigned.

-Managed new and renewal policies received from insurance agent and follow up on expired insurance.

-Processing transactions (cash and credit cards), issuing receipts and update customer’s payments history.

-Develops a set of standard lease contracts or bill of sale that involve the purchase


-Must be fluent in English and Mandarin or Cantonese.

-Post-secondary diploma is an asset but not mandatory. Formal training in secretarial and office procedures and practices is an asset.

-High level of diplomacy, tact, discretion, confidentiality, judgment, and professionalism.

-Effective organizational and priority-setting skills.

-Ability to work effectively under pressure and meet deadlines during peak times of the month.

-High degree of accuracy and attention to detail.

-Ability to accurately maintain appointment calendars, and schedule appropriate appointments.

-Ability to respond appropriately to inquiries in person, on phone, and in writing, and make appropriate referrals.

-Ability to work independently with minimal supervision but collaboratively in a team environment.

-Ability to compose correspondence, reports, presentations, and other written materials using clear concise business English.

-Ability to create and accurately maintain paper and electronic records and filing systems.

Hand-off and task overlap between Accounting and Administration is a standard and important function to this role. All departments rely on the efficiency and communication of this role.

Job Types: Full-time, Permanent

Salary: $35,000.00-$45,000.00 per year
