The Opportunity



We currently have an opening for an Executive Assistant with dual reporting to the Senior Director of the Canada Impact Team and Chief People Officer (CPO). The primary responsibility of this position will be to support both these leaders. This position requires a candidate that will be able to assess and anticipate the needs of the CPO & Senior Director and be comfortable with making independent decisions based on knowledge of current issues. This position requires a high degree of independent judgment and sophistication, as interactions with other senior executives internally, externally and with our Owner/Operators are frequent. Requires excellent interpersonal skills, and the ability to interface with team members at all levels of the organization.



Principal Accountabilities



In addition to following McDonald’s policies and procedures, principal accountabilities include, but are not limited to:



· Providing full administrative support for the CPO and Senior Director of the Canada Impact Team, members of their teams and other members of the Senior Management Team as required.



· Manage calendars including scheduling of meetings, appointments and booking all travel arrangements.



· Coordination of team and steering committee meetings and events, including venue, agenda, audio visual, attendees, pre-reads, dinners and events for participants



· Preparation of correspondence (emails, letters, memos, presentations, agendas, expenses) using various software packages.



· Providing administrative support for special projects and events as required



· Various other admin tasks in relation to Communications and HR in particular



· Design, review and coordinate various materials for presentations (slides, agendas, minutes, follow-up etc.).



· Coordination of meetings as required (booking venues, coordinating invitees, set-up for meetings, menu and food arrangements etc.)



· Management of internal budgets including cost tracking and management, ordering, forecasts and expense processing



· Follow-up and act as a liaison with various individuals both internally and externally at all levels of the organization.



· Complete all tasks in a professional and confidential manner.



Qualifications



· 5-7 years administrative experience supporting at the executive level



· Excellent computer skills using Microsoft Office products: Word, Excel and PowerPoint, Outlook, WebEx, Teams etc.,



· Willing to take on new and evolving challenges and to work together to find solutions



· Have a strong knowledge (or gain a strong knowledge) of the McDonald’s system, including head office departments, regional offices and restaurants would be definite assets



· Proactive, highly organized and extremely detail oriented



· Can work effectively in an environment that requires a high degree of confidentiality



· Exceptional customer service skills with a high level of diplomacy



· Outstanding written, verbal and telephone communication skills



· Well organized, with excellent multi-tasking and prioritizing skills with the ability to work within tight deadlines while still maintaining a high level of accuracy and attention to detail



· Experience working in a fast-paced environment with the ability to adjust quickly to change



· An administrative education would be a great asset but is not mandatory.
