Your Impact:

As a Project Administrator on our team in Toronto, you will perform a key role administering contracts on a major transportation program here in Toronto. This role is integrated within the consultant Contract Management team and the incumbent will possess initiative to support solutions and have excellent communication and team and client interfacing skills. The Project Administrator reports to the Project Manager and supports other members in the contract management team.

We are looking for someone who can support the consultant contract administration processes including timesheet distribution and compliance reviews, review and processing of invoice approval and payments and assist with preparation of project reporting e.g. Estimate at Completion (EAC) submissions.

You’ll also prepare contract status reports and account reconciliation, prepare sub-consultant invoice reports and respond to sub-consultant queries on payment status, assist with the preparation and processing of candidate resource proposals for client submission along with other related tasks and duties as may be required to support the program team. You will assist with monthly accruals process and preparation of resource proposals for client submission.

Here’s What You’ll Need:


2-5 years direct related experience required, up to 10 years total preferred

- Contract administration experience is an asset

- Working in an engineering/construction environment is preferred

- Some Accounts Payable, Accounts Receivable and Billing experience preferred

- Experience in management of stakeholder, vendor, consultant/contractor and project team relationships

You’ll also need:

- Excellent analytical skills with the ability to problem solve

- Must possess initiative and have the ability to work under minimal supervision

- Ability to read and comprehend Purchase Order documents

- Excellent business application skills (e.g., Microsoft Excel, Word) Oracle a plus

- Excellent organizational and communications skills, both written and verbal

- Superior teamwork skills, ability to work well with others under pressure of deadlines

- Service focused, result and solution oriented in a developing business environment
