Your Opportunity:

This position provides secretarial and administrative support to the Gynecology/Surgery Oncology physicians in their clinical, academic, administrative, and research duties. Performs complex and diversified duties requiring independent judgment and confidentiality, while showing initiative, good organizational skills, and the ability to successfully work in a team environment. Self-direction and the ability to thrive in a fast-paced environment is essential. Must prioritize and complete a varied task load, exhibiting professionalism at all times. Ability to handle competing priorities with time sensitive deadlines and frequent interruptions. Responsible for insurance forms, release of information consents,

prescription renewals and other administrative requests. Contact person for physicians and nurse practitioners; answers and responds to calls from patients, staff, public and acts independently as required. Transcribes medical-legal letters and processing of third-party insurance requests. Book’s patient appointments such as X-Ray, Lab, RT, OPD, etc. Liaise with the Royal Alexandra Hospital regarding OR/colposcopy bookings, patient questions/concerns, documentation, support to NP on site. Prepares and updates Physicians’ CVs and University of Alberta annual reports. Organize meetings and conferences, including agenda preparation, taking minutes, as well as all other arrangements. Manage Physicians’ calendars, coordinates travel arrangements, rounds, teleconferences and maintains the Physician Extender Schedule. Receives, sorts, and distributes all mail, filing and photocopying and other duties as required. Provides coverage for administrative support partner, and training of new hires as needed.

Required Qualifications:

Completion of post-secondary education (e.g. course(s) in business administration, medical office assistant), or other related fields.



Additional Required Qualifications:

Medical terminology is necessary. Advanced proficiencies with various computer applications including Outlook Calendar and Email, Word, Excel, PowerPoint and Internet experience.



Preferred Qualifications:

Three-five years’ experience in a medical administrative assistant role. Proficiency in writing correspondence and proof reading. Working knowledge of ARIA, AXON, Netcare and Connect Care would be an asset.
