Office Management and Sales Office Administration



General administrative duties: filing, administering and handling deposit or replacement cheques accordingly. Coordination regarding on-site marketing campaigns and correspondence (i.e. Update notices, E-blasts, events etc.)



Preparation and Follow-up with all Legal Documentation



Documents include Agreements of Purchase and Sale, Amendments, Addendums, Cooperation Agreements, etc. Mail merge, pulling and preparation of reports with an excel database, mass mailing/eblasts.



Ensuring the legal documents have been signed by all parties, checking for proper signing and execution. Distribution of all legal documents and deposit cheques to all parties involved.

Follow-up and efficiently provide resolution for all outstanding items and addressing concerns.



Auditing and file managements



Daily Report, Weekly Report, maintaining an up to date and accurate Master database.



File maintenance: keeping all suite files and sales office operations is in decent order (neat, complete and up to date), knowing where all files are located. Copy and scan documents for internal and external use.



Qualifications:

Have a Bachelor’s degree or diploma in Business, Business Administration, Real Estate, or any related work experience.



Advanced proficiency in Microsoft Office products (Outlook, Excel, and Word only). Experience with mail merge an asset.

Superior attention to detail and a commitment to maintaining the highest level of accuracy and integrity on legal documents and traffic reports.

Demonstrated experience in dynamic and fast-paced environments with a positive attitude and high volume traffic

Experience working in the real estate development and/or sales and customer service would be a clear asset.

Professional English language proficiency; Cantonese and Mandarin language skills would be a clear asset.

Strong written and oral communication skills, with the ability to clearly, concisely, and confidently report to the developer, PR team, marketing team, and upper management as needed.
