Position Profile

Join our Procurement and Logistics Department as we work together to deliver compassionate care that is responsive to the healthcare needs of our community.

We are currently hiring for the position of Project Coordinator, Logistics.  

Employee Group: Non Union


- Process transactions of JIT and special projects including Runnymede Healthcare Centre

- Coordinate -

- the implementation of project plans, timeframes, schedules and communication materials for JIT systems

- and assist in the planning of all project work phases, operational upgrades, electronic documentation, support downtimes, and in the development of JIT related special projects

- and compile data regarding department operations, projects and annual reporting for the JIT systems

- project meetings with internal and external stakeholders

- Facilitate training on JIT system/processes for staff and stakeholders involved in logistics/procurement

- Monitor and track project’s progress and address issues that arise appropriately.

- Report and escalate potential and actual delays or barriers to project completion, including conflicts with internal and external stakeholders and potential solutions

- Assists leadership and/or the department in -

- reviewing product data on the supply carts to determine supply usage, turnover rates, and appropriate product mix for each supply cart and vendor

- preparing reports of product usage with recommendations for improvements to cost and supply level balances (e.g. review cart quotas, recommend quota changes, eliminations, or redistribution based on usage results)

- coordinating with Procurement and Logistics teams to update contracts, pricing, and items related to the JIT and inventory systems for the Hospital including for special projects

- Support the monitoring of JIT systems for the Hospital, its Partner Hospitals including special projects, to ensure successful transactions from end to end processing and escalating issues identified to the Procurement and Logistics management for resolutions

- Expedite outstanding JIT and inventory orders

- Create and maintain internal and external stakeholder database, including nature of partnerships with HRH and for special projects, and summary of activities for tracking and stakeholders’ change requests including but not exclusive to JIT and inventory changes

- Conduct reviews of change request, Service Level Agreements compliances, reports, etc. to inform decision-making in relation to previously identified projects

- Contributes to the creation and maintenance of comprehensive project documentation, plans and reports

- Uses project management tools to monitor working hours, budget, plans and money spent as needed.

- Act as a central point of contract for requests for information

- Participates in meetings to review the JIT inventory by Departments in consultation and collaborations with the Procurement and Logistics Management

- Participates in special projects as assigned


- Diploma in relevant program required

- Undergraduate degree in Business, Administration, inventory, Supply Chain preferred

- Project Management Certificate preferred

- Inventory Management Certificate preferred

- 2 years of recent experience in project coordination, computerized logistics/procurement required

- 2 years of Logistics/Procurement in computerized healthcare environment preferred

- Intermediate to Advanced skills in MS Office Suite (Outlook, Word, Excel, PowerPoint, Access, etc.) required

- Experience with Meditech system preferred

- Knowledge and experience of Project coordination / Management required

- Knowledge and experience of Lean supply chain Medical product knowledge preferred

- Tact and diplomacy, negotiation, consultation, interpersonal skills, critical thinking, problem solving, organization, detail minded, customer service, communication, stakeholder engagement

- Excellent problem solving, negotiation, planning, communication, interpersonal with the ability to communicate effectively

- Excellent organizational and time management skills with the ability to meet timelines given multiple projects and fast pace environment
