JOB SUMMARY



Reporting to the Clinical Lead, The Medical Office Assistant supports Phoenix Centre’s Clinical Services Team (CST) by offering comprehensive administrative support to a team consisting of Licensed Practical Nurses, Registered Nurse, Addiction Specialist Physician, other physicians, and a Clinical Lead. The CST operates 24 hours a day, seven days a week in providing mental and physical healthcare services to approximately 170 adult men and women living in two purpose-built facilities in Surrey, BC.



Responsibilities



- Provide a variety of administrative duties by answering telephones, booking appointments, completing lab requisitions, and assisting in the general flow and organization of the CST.

- Ensure that medical records are obtained, transferred, digitized, uploaded, and otherwise handled in a manner that ensures their confidentiality, timely transmission, and secure storage or destruction, as warranted.

- Handle bookings of appointments for organization clients with medical professionals inside and outside the organization.

- Assist in providing clients a safe, predictable, structured and supportive environment in which to achieve their healthcare needs.

- Provide a role in ensuring a welcoming, safe, and positive experience for clients and staff.

- Assist in the coordination and integration of our interdisciplinary team of physicians, counsellors, nurses, social workers, and pharmacists.





- Provide clients with information and contacts for community resources.

- Set up appointments and arrange meetings as required.

- Develop supportive relationships with clients.

- Maintain client confidentiality and respond to client rights to health care information



Skills & Qualifications



Education: Completion of a Medical Office Assistant program. Equivalent education or experience will be considered.



Social Services Field: Preference will be given to those with experience in addiction services and/or social services, preferably within a community setting, with demonstration of sensitivity to the issues of people affected by substance misuse, concurrent disorders and homelessness.



English: Fluent and able to effectively communicate professionally, orally and written, in English. Fluency with medical terminology required.



Technical Skills Proficiency in Microsoft Office 365, together with working knowledge of electronic medical records and electronic medication administration records. Demonstrated skill utilizing faxes, scanners, IP phones and collating photocopiers.



Typing: Minimum 5000 keyboard strokes per hour.



Diversity: Fluency in language(s) reflecting the diversity of the community is an asset.



Criminal Records Check: Current clearance.





Schedule:

This is a daytime position with hours of work from 8:00 AM to 4:30 PM. Monday to Friday.
