The successful candidate will report to the Manager of the Water Resources Department and will provide administrative assistance to multiple service lines within the department.
Key Responsibilities:
- Provide support for final document preparation, which may include but is not limited to, editing, formatting, printing, assembling, binding, and courier.
- Provide any other support in the preparation of tenders, proposals, contracts, reports, spreadsheets, meeting minutes, and presentation materials, as requested by management and or department staff.
- Receive and track incoming job opportunities (RFPs/RFQs).
- Communicate corporate format standards to all employees,
ensuring compliance with established quality standards.
- Ensure that timelines are met for all key deliverables.
- Manage all hard copy and electronic documents, ensuring accurate filing, sorting, and archiving.
- Follow direction to complete other tasks and projects as required.
- Providing administrative support to other departments as required.
Significant Qualifications include:
- Diploma in Office / Business Administration or equivalent.
- Minimum one (1) year of experience providing some or all of essential duties and responsibilities noted above.
- Expert knowledge of Microsoft Word, Excel, and Adobe.
- Strong communication skills.
- Strong analytical, organizational, and problem solving skills.
- Excellent work ethic and ability to work on several projects or issues simultaneously.
- Excellent time management skills to meet firm timelines.
- General knowledge of the Ontario Health and Safety Act.
- You must be a highly motivated, organized team player with the ability to manage many tasks efficiently in a fast-paced collaborative working environment.
- Marketing / business development skills are an asset.
