Overall duty of this position is to support the timely and accurate administration and processing of weekly payroll. The Payroll Administrator ensures legislative reporting and union requirements are met in compliance with company policies, corporate governance, collective agreements and legislative requirements.
Due to the restrictive timelines involved with this position, overtime may occasionally be required.
Duties and Responsibilities:
Responsible for the processing of the weekly payroll for approximate 300-400 salaried and hourly employees within tight timelines.
Reviews and transmits payroll files to the bank, ensuring employee files, spreadsheets and records are maintained.
Collects weekly timesheets and processes data entry in HRIS with a high degree of accuracy.
Processes personnel transactions such as new hire, termination, leave of absence, benefits, union deductions, garnishments, salary changes, etc.
Reconciles and researches payroll discrepancies; processes adjustments as required.
Processes Record of Employments (ROE’s) in accordance with Service Canada requirements.
Performs account reconciliation and remittance for WCB and WorkSafe.
Processes annual T4 statements, T2200 forms and other government reporting as required.
Serves as a first point of contact for time and attendance issues.
Stays current with all aspects of Canadian payroll legislation, privacy laws and benefit administration and applies continuous learning strategies along with current collective bargaining agreement changes and reporting as required.
Ensures compliance with company policies, corporate governance procedures, collective agreements and legislative government requirements.
Maintains strict confidentiality of employee information and compensation practices.
Maintains payroll records and files ensuring employee information is current.
Adheres to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
Other duties may be assigned as deemed necessary.

Solid understanding of payroll procedures including demonstrated experience in legislation interpretation; knowledgeable of federal and provincial payroll regulations and related tax law and employment standards application.

Strong verbal and written communication skills matched with the ability to negotiate and build relationships with key stakeholders.

Strong computer skills in MS Office and other software applications.
Education and Work Experience:
College Diploma or Certificate in Payroll.
3-5 years’ experience in Payroll administration.
Canadian Payroll Association (CPA) designation preferred.
Multi-provincial union payroll experience required.
Equivalent experience combined with other formal training and accreditations may be accepted.
The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
The work is primarily sedentary.
The noise level in the work environment is usually quiet to moderate.
Work outside of normal business hours will be occasionally required.
Occasional to frequent travel will be required within Canada.
