Job Description:

Temporary contract of 15 months





The role of the Executive Assistant is to provide effective and timely administrative support and contribute to the day-to-day tasks that are essential to the proper functioning of the President's office.



What will you do?



Perform administrative work (reception, telephone, voice mail, e-mail, ordering office supplies, proper functioning of the office and office equipment, preparation of postal mail)

Perform certain basic accounting activities (expense reimbursements, invoice payments, cheque requests, tax receipts)

Contribute to the coordination of various events, sometimes at off-site locations, and create presentation materials for a variety of audiences

Assist in the formulation of general correspondence and assist as required in the resolution of escalated issues coming from a variety of audiences

Receive solicitation requests and enter them in Sponsorium

Assist in the formulation of general correspondence and assist as required in the resolution of escalated issues coming from a variety of audiences

Work with Marketing and Communications on coordinating requests for sponsorships and table purchases for charity events

Contribute to the planning and coordination of courtesy calls and meetings for the various business units

Coordinate arrangements for business travel (airline tickets, hotels, etc.) and assemble the necessary documentation

Organize the logistics of on-site and off-site meetings (book and coordinate set-up of meeting rooms, prepare documentation and invitations, place catering orders, book and coordinate set-up of audiovisual equipment, prepare rooms, manage surplus food and dishes, etc.)

Provide direct support to the leadership team through the timely issue of meeting reminders, reports, documentation, etc.

Provide direct support to persons reporting to the President's office for the completion of expense reports, notices of meetings, etc.

Maintain the President's address book and do an annual update; order stationery; manage the sending of holiday cards



What do you need to succeed?



Diploma of Vocational Studies or Diploma of Collegial Studies in secretarial studies or relevant training

Minimum five years in a similar role or any other relevant experience

Strong communication skills (verbal and written) in English and in French

Demonstrates independence and resourcefulness

Demonstrates a strong ability to handle and maintain confidential company information

Diplomacy, tact, and discretion in dealing with sensitive matters

Detail-oriented, able to work well under pressure

Problem-solving skills and the ability to manage multiple priorities

Proficiency with MS Office (Word, Excel, PowerPoint) and Outlook

Knowledge of accounting concepts

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
