Position Overview



The O'Brien Institute for Public Health in the Cumming School of Medicine invites applications for an Events & Communications Coordinator. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.



Reporting to the Manager, Strategic Communications, of the O’Brien Institute for Public Health, the Events and Communications Coordinator, initiate, plans and executes all O’Brien Institute internal and external events and is responsible for the strategic long-term planning of events following the vision and mission statement of the O’Brien Institute.



As a communications generalist,

the Coordinator is required to plan and produce a variety of communications pieces to support the events portfolio (e.g., printed announcements, brochures, invitations, posters, advertising, displays, videos, web, etc.) as needed. Overtime may be required for special events and duties may vary depending on the nature of the events. Some early morning, evening, and weekend hours may be required. Some physical activity may also be necessary (e.g., moving furniture, carrying boxes of materials and decorations, clean up, etc.) depending on the nature of the event. This role may require on or off site visits for venue assessments as well as event layout coordination.



Position Description



Summary of Key Responsibilities (job functions include but are not limited to):



Effectively plan, organize and stage a wide variety of events each year, including an annual members' forum, several public facing events, as well as the Institute's ongoing and accredited seminar series

Assess the logistical and strategic requirements of each event from promotional materials, booking guest speakers, contacting external collaborating organizations, to catering, venue booking, and travel and accommodation booking for guests

Coordinate photography, graphic design, audio/video production, and social media activities forevents as required

Working with the Manager, Strategic Communications, create, submit, and adhere to a budget for each event/activity, upon approval of the O’Brien Institute Administrative Director

Coordination of volunteers for special events and activities

Develop event evaluation tools to assess the success/potential for improvement for each, as well as their value to the overarching mission and objectives of the O’Brien Institute

Support/back up other members of the O’Brien Institute core team (Manager, Strategic Communications, Assistant, Strategic Communication, Project Coordinator and Administrative Director), where needed and appropriate

Responsible for all logistical aspects of a weekly seminar series co-hosted by the Department of Community Health Science and the O’Brien Institute



Qualifications / Requirements:

Post-secondary degree required, preferably in Public Relations, Communications, Journalism or related field, or equivalent combination of education and experience

3 to 5 years of related working experience

Experience in event planning and implementation

Superior writing skills and demonstrated ability to produce written material for several different media (web, print)

Highly developed verbal communications skills and ability to work with cross-functional teams effectively

Ability to work in a fast-paced environment, with constantly shifting priorities. Comfortable with problem solving and decision-making and capable of working independently on projects when required

Comfortable using digital communication, collaboration and planning tools, such as Zoom, Microsoft Teams and Meetings, Salesforce, Drupal, WordPress, LiveWhale and social media platforms

Proficient in Microsoft Office applications (Word, Excel, and PowerPoint) and photo editing software (Photoshop)

Experience with graphic designers, ad agencies and printing services is an asset

Experience working with web content management systems is an asset
