Administrative Coordinator

On behalf of our client Procom are looking for an administrative assistant based in Calgary Alberta. This role has a flexible work schedule with the option to work from home for the right candidate.

Administrative Coordinator Job Description

The Administrative Coordinator takes on general day-to-day administrative tasks to support business operations.

The role is focused on a range of activities,

- general administration & data entry

- bookkeeping support

- contract administration

- desktop support

- supply inventory and day to day staff inquiries

- daily administrative support to Service Leads as required.

Business Operations Support

- Administration inbox management

- Organize and schedule meetings

- Organize office operations and procedures

- Assist with planning and execution of company events

- Book transportation and accommodations

- Employee benefits administration

- Insurance and WCB administration

- SharePoint site administration

- Liaison with vendors that support operations

- Document management (tracking, storing/filing)

- Internal team meeting minutes

Bookkeeping Administrative Support

- Support main bookkeeper (uploading financial reports to SharePoint, pulling information and sending to bookkeeper)

- Monthly Invoicing

- Bill payments

- Accounts Receivable and Accounts Payable administration

- Payroll administration (filing and sending of paystubs, creating payments in portal)

- Assist in managing expense receipts for bookkeeper entry (gathering receipts, storing/filing, coding)

Contracts Administration

- Process and maintain client, consultant, and employee contracts

Administrative Coordinator Must Have Skills

- Office management and administrative experience, minimum of 1-3 years' experience

- Proficient in Microsoft Office Suite/ O365

- Proficient in SharePoint

- Knowledge of basic bookkeeping

- Contract administration experience

- Accounts Receivable/Invoicing experience

- Vendor management experience

- Excellent time management skills, ability to multi-task and prioritize work

- Intermediate MS Excel and some Sage Accounting Experience a definite asset

- Exceptional attention to detail and organizational skills

- Strong interpersonal skills
