Position Summary
The City of Richmond Hill is excited to offer an exceptional opportunity for a graduating student or recent graduate to join our team as a Procurement Intern. This one-year contract position is designed to provide valuable hands-on experience and a pathway to a rewarding career in public procurement.
Reporting to the Supervisor Procurement Services, the Procurement Intern supports day‑to‑day procurement and purchasing operations. The intern will work closely with team members to gain practical experience across sourcing, purchase order administration, P‑Card processes, contract documentation, and procurement compliance.
This role offers exposure to both pre‑ and post‑award procurement activities while contributing to the efficient delivery of purchasing services across the organization.

Key Duties and Responsibilities
- Assist with data entry and tracking of procurement activities to support timely processing and reporting.
- Assist with purchasing and procurement activities by supporting purchase order processes, including reviewing requests for completeness, maintaining records in procurement systems, supporting updates and changes, and responding to routine internal inquiries under the guidance of Procurement staff.
- Support purchase order close‑out activities by assisting with tracking open purchase orders, identifying those approaching completion, maintaining documentation, and supporting administrative steps required for PO closure under the direction of Procurement staff.
- Support sourcing and procurement processes by assisting with the preparation, formatting, and posting of solicitation and award documentation, and helping coordinate procurement‑related meetings and follow‑ups.
- Maintain procurement records, including contracts, purchase orders, supplier documentation, and related files, in accordance with corporate record‑keeping requirements.
- Provide administrative support for the City’s Purchasing Card (P‑Card) program by assisting with record maintenance, tracking cardholder information and training documentation, and supporting responses to routine cardholder inquiries under the direction of Procurement staff.
- Provide general administrative and project support to the Procurement team, participate in learning opportunities and special projects, and perform other related duties as assigned.
Education and Experience
- Graduating from, or recently completed, a bachelor’s degree program in Business, Procurement‑related studies, Public Administration, or a related field.
Required Skills/Knowledge
- Strong analytical and problem-solving skills.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively across teams.
- A proactive team player who is adaptable and eager to support colleagues in achieving department goals.
- Strong organizational abilities and attention to detail, with the ability to manage multiple tasks simultaneously.
- Positive attitude with a willingness to learn and contribute in a fast-paced, dynamic environment.
- Ability to take initiative, work independently when needed, and offer support to ensure team success.
- Familiarity with procurement processes and public sector regulations is an asset, but not required.
- Preferred technical qualifications: MS Suite, Visio, Power BI

Hybrid Work Environment:
