OVERVIEW



Responsible for all activities relating to the order fulfilment process within the Customer Service Department



DETAILED ROLES & RESPONSIBILITIES



- Receiving orders from customers by phone, fax and email.

- Maintaining customer info: files, contacts and addresses, contract pricing and differentials are up-to-date.

- Communication of all special handling requirements/requests to the appropriate department, to ensure compliance with the order as received. i.e., export orders.

- Scheduling of package, bulk and liquid loading appointment times and preparing and sending out daily schedules.

- Keeps log of delayed shipments, order changes and return authorizations.

- EDI- Understands,

retrieves orders and send invoices by EDI.

- Handling customer complaints by obtaining the appropriate information and filling out the necessary documents.

- Keeps accurate track of contract balances and orders relating to contracts

- Contacts Account Manager when contracts are due to be completed.

- Provides correction on invoices that are inaccurate and processes returns for credits and debits.



RELATIONSHIPS/INTERDEPARTMENT LIAISONS:



- Customer: Daily by telephone, email and at appropriate Company events.

- Sales, Account Managers: Working with Account Managers to ensure proper administration of contracts and customer issues.

- Logistics: Daily contact to review inventories and supply issues.

- Carriers: Daily by phone to book appointments and make changes to schedules.

- Manufacturing: Daily contact and interaction with loaders, supers to ensure fulfilment of customer special needs and requests.

- Operators in Bulk & Liquid loading and Warehouse: Daily contact by phone for order status, special customer requests and changes to schedule.

- Credit Dept.: Daily for updates on customer orders (releases, holds) and providing required/requested customer information.



WORK EXPERIENCES



- College education with a minimum of two years in Customer Service.

- Computerize order entry experience mandatory.

- Bilingual (spoken and written) in English and French preferred

- Microsoft Office

- SAP experience considered an asset



EDUCATION REQUIREMENTS



- College education



ESSENTIAL CAPABILITIES (KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL ATTRIBUTES)



- Fluency in English and French, both written and verbal, preferred

- Communication

- Strong interpersonal skills required.

- Ability to work as a team while being independent.

- Flexibility.

- Ability to prioritize given tasks.

- Ability to work well under stress
