We are seeking a versatile, seasoned and organized Bookkeeper / Administrative assistant to oversee our financial records and ensure the smooth operation of our office.
Our ideal candidate will be a multitasking pro who is proficient in accounting and administration.
Key Responsibilities
· Financial Record Keeping: Accurately record all financial transactions, including income, expenses, and payroll, using accounting software such as QuickBooks.
· Accounts Payable and Receivable: Manage accounts payable and receivable processes, including tracking invoices, processing payments, and maintaining vendor and client relationships.
· Bank Reconciliation: Reconcile bank statements with internal records to ensure accuracy and identify discrepancies.
· Financial Reporting: Prepare monthly, quarterly, and annual financial statements and reports for management review.
· Administrative Support: Provide general administrative support, including managing office supplies, scheduling meetings, answering the phone, and assisting with correspondence, .
· Compliance and Audits: Ensure compliance with financial regulations and assist with internal or external audits as needed.
· Budget Monitoring: Assist in tracking budgets and identifying variances, recommending adjustments as necessary.
Office Management & Administration:
· Act as the main point of contact for administrative support across departments.
· Manage office logistics, including ordering supplies and coordinating shipments.
· Schedule projects and create work orders for subcontractors.
· Assist with project documentation,
including purchase orders, proposals, and close-out documents.
· Coordinate with customers, consultants, and project teams to ensure client satisfaction.
Required Skills and Qualifications
· Education: High school diploma or equivalent; an associate degree, or extensive experience in a similar role in accounting or finance is preferred.
· Experience: Previous experience in bookkeeping or accounting roles is highly desirable.
· Technical Skills: Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite, particularly Excel.
· Attention to Detail: Strong attention to detail and accuracy in financial reporting and record-keeping.
· Communication Skills: Excellent verbal and written communication skills to interact with clients, vendors, and team members.
· A reliable self-starter who thrives in a fast-paced setting.
Computer Skills
- Proficient in Microsoft: Outlook, Word, Excel
- Solid knowledge of accounting software (Sage / QuickBooks)
- Knowledge of project management software is an asset
- Knowledge of scheduling software is an asset
Job Types: Full-time, Permanent
Pay: $25.00-$33.00 per hour
Expected hours: 40 per week
